Job Description

Eden Scott's client is seeking experienced Senior Investment Administrator to join their team on an initial fixed-term contract of six months, with the potential for extension or a permanent opportunity.

Based in Edinburgh this role will initially require you to work from the office for training and onboarding for the first month and then it will be hybrid.You'll play a key part in maintaining accurate accounting records for investment trust clients and will be responsible for completing a wide range of daily administrative and financial tasks.

Key Responsibilities

* Maintain accurate records for a portfolio of investment trusts, ensuring all statutory registers and shareholder information are up-to-date and compliant with regulatory standards.
* Coordinate the preparation and distribution of board packs and meeting agendas, attend board and committee meetings as required, take accurate minutes, and track action points to completion.
* Work closely with registrars to manage shareholder enquiries, process share transfers, and support the preparation of annual general meetings, including the collation of shareholder communications and proxy voting materials.
* Ensure adherence to the Companies Act, FCA regulations, and other relevant legislative requirements. Assist with regulatory filings and coordinate responses to compliance reviews and audits.
* Collaborate with internal finance teams and external auditors to prepare interim and annual financial statements. Help coordinate year-end processes and support the preparation of key financial documents for audit and review.
* Administer corporate actions (e.g., share issues, buybacks, mergers), and support the processing of dividend announcements, calculations, and payments in coordination with fund managers and registrars.
* Act as the key point of contact between the investment trust and third-party service providers, including fund managers, custodians, lawyers, and auditors. Monitor service levels and escalate issues as needed.
* Draft routine correspondence, maintain statutory and corporate documents, ensure proper filing and archiving of all documentation, and support the implementation of document control procedures.
* Perform regular reconciliations of trust data against custodial and management systems. Update internal systems and databases with accurate and timely information regarding trust activity and performance.
* Contribute to the development and refinement of processes to enhance operational efficiency and support a culture of continuous improvement within the team.

Experience and Skills Required

* Fund management administration experience
* Investment trust administration experience and/or ICON fund accounting system knowledge
* Strong attention to detail and accuracy
* Effective communicator with internal and external stakeholders
* Ability to meet deadlines under pressure
* Positive problem-solver with a proactive mindset
* Motivated team player who can take responsibility and encourage others
