Document Controller – Head Office (Full-Time)
We are seeking a Document Controller to join our team at our Head Office. This is a full-time position offering a competitive salary and benefits package.
Role Overview
The Document Controller will be responsible for managing, maintaining, and coordinating all project documentation to support the delivery of construction and regeneration projects. You will ensure information is accurate, compliant, and easily accessible to project teams, clients, and subcontractors. This role is ideal for someone highly organised, detail-oriented, and comfortable in a fast-paced environment.
Key Responsibilities
Document & Data Management
1. Manage all project documentation in accordance with company processes and client standards
2. Control the flow of documents, ensuring quality and timely distribution
3. Keep drawing registers, revision histories, and change logs up to date
4. Maintain document numbering, naming conventions, and templates
Project Information Control
5. Upload, review, and manage documents using EDMS platforms (e.g., Viewpoint, 4Projects, SharePoint, BIM360)
6. Track document approvals, comments, and workflows
7. Coordinate documentation requirements with project teams, consultants, subcontractors, and clients
8. Ensure proper issuance, receipt, and archiving of internal and external documents
Compliance & Quality Assurance
9. Support compliance with ISO standards, QA procedures, and project-specific requirements
10. Prepare documentation packs, O&M manuals, and handover records
11. Assist with audits, process reviews, and implementation of document control best practices
General Support
12. Provide administrative and coordination support to project and operational teams
13. Maintain effective communication channels to ensure smooth documentation processes
14. Support training and guidance for colleagues on document control systems and protocols
Skills & Experience
15. Experience as a Document Controller or similar role in construction, engineering, or related sectors
16. Strong understanding of document control processes and workflows
17. Experience with EDMS platforms such as Viewpoint, 4Projects, BIM360, Asite, or SharePoint
18. Excellent organisational skills with attention to detail and accuracy
19. Strong communication skills and ability to collaborate across teams
20. Ability to manage multiple tasks and meet deadlines
21. Proficient in Microsoft Office
22. Knowledge of ISO standards and QA processes is a plus
Qualifications
23. Minimum GCSE level or equivalent
24. Document management training or certification is advantageous but not essential
