Job Title: Project Coordinator

Role Overview
The Project Coordinator plays a vital role within the team, supporting HVAC Capital Works projects in Northern Ireland from our Mallusk office. This role demands multitasking and effective prioritization in a busy environment.
Key Responsibilities
1. Coordinate site construction projects to ensure timely and effective execution.
2. Manage scheduling of engineers' diaries for optimal coverage.
3. Handle incoming calls and manage communication efficiently.
4. Support clients via telephone and email.
5. Log, assign, and respond to maintenance calls promptly.
6. Process operatives' paperwork and submit for payment.
7. Meet work order deadlines within service levels and contract terms.
8. Achieve targeted KPIs related to contract requirements.
9. Assist in cross-training team members for contract coverage.
10. Perform routine administrative tasks.
11. Communicate with stakeholders and clients effectively.
12. Escalate issues promptly to line managers or clients.
13. Undertake additional duties as directed by management.
14. Ensure compliance with policies and procedures.
15. Assist with applications and certificates from authorities/clients.
16. Adhere to safety protocols and Data Protection Act.
17. Organize daily operational runs, materials, and liaise with suppliers/sub-contractors.
18. Maintain professionalism and confidentiality.
19. Calculate engineer performance metrics and bonuses.
Person Specification
* Minimum 1 year of experience in an office environment.
* At least 5 GCSEs, including English and Maths.
* Proficient in Microsoft Office.
* Proactive, independent, and well-organized.
* Strong customer focus and communication skills.
* Ability to multitask and work as part of a team.
* Flexible, positive attitude, and trustworthy.
