AJ Chambers are seeking a highly organised and proactive Legal Secretary to join a busy Real Estate Disputes team within a top Law Firm in the West End.
This role provides centralised secretarial support to a group of Senior Associates, Associates, and Trainees, ensuring the smooth and efficient running of day-to-day operations.
The successful candidate will be a key point of contact both internally and externally, working closely with Executive Assistants and the Client Administrator team. This is a fast-paced role requiring excellent prioritisation skills, attention to detail, and the ability to manage multiple competing demands.
Main duties will include:
Workflow & Coordination
* Take ownership of team workflows, managing and delegating tasks to central support departments as appropriate
* Monitor and manage team inboxes during absences, ensuring timely and accurate responses
* Oversee diaries and calendars, scheduling meetings and coordinating all related logistics
Administrative Support
* Prepare, edit, and proofread documents to a high standard, ensuring adherence to house style
* Coordinate meeting arrangements, including room bookings and updates to schedules
* Manage expense submissions and ensure timely processing
Collaboration & Communication
* Act as a professional and effective point of contact for internal and external stakeholders
* Handle telephone calls, take accurate messages, and represent the team with professionalism
* Work collaboratively with Executive Assistants, Client Administrators, and other Legal Secretaries
* Provide support across the team during periods of absence or high workload
Billing & Compliance
* Coordinate billing processes, including generating bills and supporting compliance procedures
* Work closely with Client Administrators to ensure all billing and CMI processes meet required standards
Organisation & Problem Solving
* Prioritise tasks effectively to meet deadlines and manage expectations
* Use initiative to identify, escalate, and resolve issues proactively
* Maintain confidentiality and demonstrate diplomacy in all interactions
The successful candidate will need to have flexibility around working hours which will be required to meet business needs and the role requires a high level of discretion and confidentiality
