Job Description

* Salary scale: £12.48 per hour
* Contract: Fixed until 31 st March 2026, may be extended subject to funding
* Hours: 18 hours per week
* Base: Kenburgh House, 28 Manor Row, Bradford, BD1 4QU with requirement to travel between service locations
* Probationary Period: 6 months
* Closing Date: Monday 7th July 2025
* Interview Date : Tuesday 15th July 2025

Purpose of the role

To provide day to day administrative support for our Community Companions service, including being a first point of contact for people or professionals who want information about the service. This role includes a significant service member facing element, requiring someone with an understanding and supportive approach. The role will also work with our wider team to ensure that service operations are maintained in an effective, up-to-date and accurate manner.

* Manage queries relating to Community Companions and address these as appropriate
* Process referrals and completing initial screening calls with service members
* Keep relevant databases are up to date with accurate records in line with data protection regulations
* With the support of the Service Coordinator, complete the matching process based on needs, hobbies and requirements
* Track match end dates and collating feedback
* Arranging and scheduling appointments across the service
* Minute taking as required
* Recognise and respond to any safeguarding concerns, ensuring that service member safety is paramount throughout all that you do
* Support the service with distribution of promotional materials and communications as and when required
* Ensure that in all aspects of the role you embody the aims, objectives, and core values of Bradford District and Craven Mind.
* Ensure that the relevant colleagues and a competent understanding of, and comply with, all Bradford District and Craven Mind policies and procedures.
* Take responsibility, with colleagues, for ensuring that all Health and Safety, Safeguarding, Information Governance and Equality & Diversity requirements are met and all other Company policies complied with.
* Undertake any other reasonable duties or tasks deemed necessary by the senior management team.

Qualifications

* A minimum of 5 GCSE’s (or equivalent) grades A-C – must include English and ICT)

Experience

* Experience of working in a busy and demanding office environment
* Working as part of a team
* Utilising databases such as SharePoint and OneDrive
* Experience of working to deadlines and meeting them
* K nowledge of office systems and procedures
* Experience of supporting people who are struggling with mental health challenges
* Experience of minute taking

Skills and abilities

* Confident and successful use of IT systems and packages (Excel, Word, PowerPoint, Outlook)
* Excellent administrative and organisational skills
* Excellent communication and listening
* The ability to multitask, prioritise and switch tasks as necessary
* Good attention to detail with accurate record keeping

Knowledge

* Excellent understanding of GDPR and confidentiality
* Understanding of safeguarding and good practice

Attitude and personal attributes

* Understanding of and commitment to equity and diversity
* Positive attitude towards those with mental health difficulties
* Patient, resilient and able to cope with pressure to meet deadlines
* Self-motivated and enthusiastic approach
* Healthy and secure personal boundaries
