Position: Sales Administrator
Reports to: Showroom Manager
Location: Priory Carpets and Flooring, Leamington Spa
Contract: Permanent, Part-Time (16 hours – flexible Monday to Saturday) plus overtime when required
ROLE PURPOSE
To provide high-quality sales and administrative support to the Directors and wider team, ensuring the smooth day-to-day running of the business.
The Sales Administrator will act as a central point of contact for clients (B2B and B2C) by supporting sales activity from enquiry through to fulfilment while maintaining strong administrative, compliance and operational systems.
ROLE OVERVIEW
This role combines sales administration, customer service, office coordination and compliance support.
You will manage colleague & installer diaries, client communications, sales processing, database management and financial administration, while supporting warehouse coordination, showroom standards and regulatory compliance.
The position requires strong organisation, attention to detail, commercial awareness and a proactive approach to supporting all departments.
KEY RESPONSIBILITIES
Administrative Support
* Provide one-to-one personal support to the Directors when required
* Provide high quality administrative assistance to the entire team
* Screen calls, enquiries and requests and deal with them appropriately
* Manage office administration including mail, filing, documentation and archive data.
* Maintain supplies of stationery and equipment
* Assist in maintaining order, tidiness and minor cleaning of the office and showroom environment
Sales Administration & Customer Service
* Liaise daily with new and existing clients (B2B & B2C) in person, by telephone and email
* Support showroom sales activity by assisting customers in person, handling enquiries and contributing to a positive, professional sales environment.
* Respond proactively to customer queries and complaints
* Assist with fulfilment of telephone and showroom sales from order to delivery
* Manage bookings for site measures, installations and other such meetings.
* Manage client satisfaction including feedback and post-completion sign-off
Warehouse, Site & Showroom Coordination
* Work alongside the Warehouse team to ensure accurate order fulfilment
* Oversee waste management processes and ensure appropriate disposal procedures are followed
Compliance, Safety & Records
* Arrange servicing and maintenance of company equipment
* Arrange regular testing of electrical equipment and safety devices
* Produce and issue RAMS and handover documentation where required
* Ensure compliance with fire safety standards and procedures
* Support compliance with data protection regulations and maintain secure record-keeping systems
Systems & Process Improvement
* Manage and implement client databases
* Develop best practice across administrative processes
* Develop and improve administrative systems where required
PERSON SPECIFICATION
Essential Experience
* Previous experience in sales administration or office administration
* Strong customer service experience (B2B and B2C)
* Experience processing sales orders and handling customer enquiries
* Good working knowledge of Microsoft Office systems
* Strong organisational and time management skills
* Ability to manage multiple priorities in a fast-paced environment
* Excellent communication skills (written and verbal)
* Strong attention to detail and accuracy
Desirable Experience
* Experience managing and implementing CRM systems
* Xero and Hubdoc experience
* Experience assisting with financial reporting
* Experience developing administrative systems
* Experience updating websites (Wix)
