Fixed Term Contract to 31.03.2026

25hrs a week ( some flexibility with working hours)

Hybrid working

Salary £18,000-£18790 (approx £27,000 FTE)

About The Role

This role will support the People Excellence & Communications Manager in the smooth running of the recruitment, selection and onboarding provision at Squared; providing administrative and logistical support throughout the hiring process, from posting job vacancies to onboarding new hires.

You will be working closely with hiring managers and recruitment agencies (as agreed) to ensure a smooth and efficient recruitment and selection process, coordinating onboarding activities for successful candidates.

Recruitment and selection

About You

* Be the first point of contact for all recruitment queries and advice
* Manage the recruitment inbox; ensuring emails are reviewed and responded to in a timely and efficient manner
* Manage the end-to-end cycle for all vacancies at Squared
* Manage the Authority to Recruitment (ATR) process
* Develop a timetable to ensure a planned approach is delivered for each approved job vacancy, agreeing key dates, timescales and responsibilities for actions with the hiring manager at the commencement of the process; with monitoring and updating of the plan throughout the process, sharing ongoing progress with the hiring manager up to and including the end of the onboarding process.
* Provide hiring managers with advice on the recruitment and selection process from role release through to onboarding, in line with our Safer Recruitment Policy and Fairness Policy, promoting Equality, Diversity and Inclusion (EDI) at all times
* Work closely with hiring managers to produce accurate and legally compliant role profiles and job adverts
* Identify appropriate job boards / platforms to place our adverts
* Liaise with recruitment agencies when required to attract more candidates
* Manage the Squared Careers page, ensuring it is fit for purpose, engaging and up to date
* Review all applications received, screening and sifting them to provide hiring managers with a shortlist, based on their requirements
* Liaise with candidates (internal and/or external) and coordinate telephone, face-to face and remote interviews and/or assessment days
* Support hiring managers with preparing suitable interview questions or assessment exercises, designed to highlight key skills and knowledge required as identified on the role profile.
* Facilitate interview/assessment days where required, managing logistics and room bookings, ensuring a positive candidate experience.
* Provide candidates with constructive feedback during and after the recruitment and selection process
* Extend employment offers to successful candidates
* Maintain accurate and up-to-date candidate records in the applicant tracking system and other relevant databases throughout the process, capturing data to help track key recruitment metrics, and providing insights to refine hiring decisions and improve efficiency
* Onboarding
* Be the first point of contact for all onboarding queries and advice
* Ensure all offer letters, contracts of employment and other contractual paperwork comply with HR best practice and employment legislation and are provided to the successful candidate, ensuring their timely completion and return of documentation.
* Manage the onboarding process to ensure all pre-employment checks are carried out in a timely and efficient manner including, reference checks, right to work checks, and DBS checks.
* Raise any matters of concern in relation to pre-employment checks and medical questionnaires with the People Excellence & Communications Manager for them to consider and manage.
* Liaise with new starters to ensure their onboarding runs smoothly and without delay
* Liaise with line managers to ensure they are kept up to date on their new starter’s onboarding journey
* Work with line managers to organise their new starter’s induction, orientation materials, training, and IT / workstation equipment
* Produce a monthly recruitment and onboarding report, against agreed measures including (but not limited to) number of vacancies, time to hire, source and number of applications etc.
* Maintain strong and effective relationships with internal teams across Squared and external partners.
* Keep up to date with relevant legislation.
* Understand and follow Squared’s policies and procedures.
* Acting at all times in accordance with Squared values. Promote Squared services to the wider community.

You will play an important role at Squared and both now and as we develop and grow. You will have previous experience administering / coordinating recruitment processes, speaking with candidates, liasing with job boards and agencies, organising interviews, and carrying out onboarding processes. You will have a good working knowledge of legislation surrounding recruitment processes i.e. Equality Act, GDPR, rehabilitation of offenders, safeguarding etc.
