About the job Responsible for administration and maintenance of all defined benefit, salary sacrifice benefits, defined contribution pension and AVC schemes within the relevant electronic systems. Ensuring the highest level of accuracy and efficiency for right first-time processing. Ensuring compliance with relevant legislation, company policy & procedures, internal and external audit requirements, as well as payments made to third parties within the required timescale. Complete pre and post payroll processing validation checks by the deadline. Ensure pensions auto enrolment responsibilities are completed to meet statutory requirements. This is a role that deals with confidential information and data on a daily basis. You will need to perform this role to meet relevant ethical, regulatory compliance and legal standards, having due regard for the policies and processes of the organisation, as well as legislative pension and payroll practices. Your main responsibilities will be: Assisting in the maintenance of current and accurate pensionable pay records for all employees, prospective members and opt out records electronically in SWR and Railpen pension administration systems. This includes maintaining pensionable pay caps, bulk updates for pay awards, annual re-assessment, changes agreed following pension valuations, auto-enrolment responsibilities, Brass and AVC benefits as well as assisting in reconciling all schemes contributions. Competent in using the Chrysalis Railpen pensions administration portal, ensuring all processes are carried out within the timescales, and that any issues are promptly resolved or escalated as appropriate. Answering staff questions about pension, Brass and AVC in a timely manner. Managing the mailbox and escalate as appropriate and in a timely manner. Keeping all of the Pension procedures and system up to date and reviewed regularly for changes required. Assist in carrying out specific and time critical pay and pensions related checks to ensure accuracy, both before the pay run, after the pay run but before final signoff, for each pay period. Assist in administration of SWR benefits such as P11D and Cycle to Work, the reconciliation and statutory reporting of the benefits. Ensure processes comply with all relevant audit requirements and legislation, including, HMRC, TPR, OpRA rules, auto enrolment and current Data Protection legislation, Assist in project work, user acceptance testing, system and process developments and improvements. Assist the payroll team, with manual input into the payroll system, when required. Maintains employee confidence and protects finance operations by keeping information confidential. Any other Ad Hoc duties as requested by Senior Management You'll need to be: An understanding of pension schemes and associated pensions legislation Excellent attention to detail when dealing with data. Experience in maintaining high quality and accurate data records Experience of working with confidential information and keeping data secure Outstanding organisational ability with great attention to detail Excellent written and verbal communication skills Self-motivated with a commitment to continuous improvement Diligent in achieving deadlines Proficiency in Microsoft Office Suite, especially Excel to an advanced level. Working pattern You will work an average of 37 hours per week across 5 days, typically; Monday to Friday, office hours.
