Senior Executive Assistant to MD with finance management experience
£44,000 - £48,000 a year - Part-time 32 hours a week
Based: 332 Ladbroke Grove, North Kensington, London, W10 5AD
This role requires a well-organised, competent, and professional Senior Executive Assistant with experience in financial management. The ideal candidate is comfortable dealing with business stakeholders and can perform a variety of executive administrative duties accurately and efficiently. This is a new role, and we welcome your ideas for improvement to ensure smooth and efficient business operations.
The assistance is required in the following areas:
* Monitor budgets and cash flow forecasts.
* Enter project invoices into accounting software Zero and Excel spreadsheets.
* Reconcile invoices against budgets and manage timely payments.
* Monitor and record business expenses.
Project Management
* Manage ad-hoc projects, including timelines, tasks, and budgets.
* Oversee property management tasks, including obtaining quotes and issuing instructions to contractors.
* Organise property maintenance and keep clients informed of progress.
* Conduct research assignments as needed.
Customer & Investor Relations
* Maintain an efficient customer relations system.
* Serve as the first point of contact for home buyers and customers.
* Organise corporate and promotional events.
* Prepare and issue bonds and certificates to investors.
Marketing & Public Relations
* Update the company website with live projects.
* Manage the company LinkedIn page.
Support to the Managing Director
* Prepare draft reports, presentations, minutes, and resolutions.
* Keep the MD updated on projects, meetings, and communications.
* Organise meetings and prepare background materials.
* Take notes and summarise actions.
Office Support and Administration
* Maintain office filing systems.
* Arrange meetings, lunches, and refreshments.
* Manage office supplies and equipment.
* Oversee office communication systems.
Minimum qualifications, capabilities, and skills
* Proficiency in MS Office, including Outlook, Excel, and PowerPoint.
* Knowledge of budgets, cash flows, and financial operations.
* Experience with accounting software Zero (training available).
* Effective planning, proactive thinking, and organisational skills.
* Attention to detail, efficiency, and accuracy.
* Excellent communication skills.
* Proactive attitude and reliability.
* Ability to work flexibly in a small, busy office environment.
Preferred qualifications, capabilities, and skills
* Experience supporting directors at executive level.
* Experience in the property sector.
Note: This office-based role in Ladbroke Grove involves 32 hours per week with flexible scheduling, in agreement with the MD. Benefits include training, a work laptop, pension, holidays, and a supportive office environment.
