Overview
To provide administrative and clerical support to ensure the smooth and efficient running of the care home's day-to-day operations. The Assistant Administrator plays a key role in supporting the management team, maintaining accurate records, and ensuring compliance with regulatory requirements.
Responsibilities
Administrative Support
* Support the Administrator/Manager in managing all front-office duties.
* Handle incoming calls, emails, and enquiries in a professional and timely manner.
* Maintain accurate records including resident files, staff files, and care documentation.
* Organise and maintain filing systems (both digital and paper-based) in line with GDPR and confidentiality policies.
Finance & Payroll Support
* Assist with processing invoices, petty cash, and expense claims.
* Support monthly payroll data collection and reporting (e.g. timesheets, absence tracking).
* Record and monitor residents' personal finances, ensuring accurate documentation.
Human Resources Support
* Support recruitment by scheduling interviews, collecting references, and managing new starter documentation.
* Assist with staff training records and compliance checks (e.g. PVG checks, SSSC registration monitoring).
* Maintain absence, holiday, and sickness records.
Resident & Family Liaison
* Welcome visitors and liaise with residents and their families, providing a professional and friendly first point of contact.
* Essential Requirements
* Previous experience in an administrative role, preferably in a healthcare or care home setting.
* Excellent communication and interpersonal skills.
* Strong organisational skills and attention to detail.
* Proficient in Microsoft Office (Word, Excel, Outlook).
* Knowledge of GDPR and confidentiality protocols.
* Ability to work independently and as part of a team.
Desirable:
* Experience in a care home or health and social care environment.
* Knowledge of Care Inspectorate requirements.
* Understanding of Scottish Social Services Council (SSSC) and Protecting Vulnerable Groups (PVG) Scheme.
