12 Month FTC – 40 hours across any 7 days


The Opportunity

Player Care Administrator will play a pivotal part in supporting the player care department, enabling the department to enhance the experience and development of our Academy players. The role will be responsible for oversight of the Host Family programme, including recruitment, ongoing monitoring, supporting development opportunities and reviews. The role will also be responsible for co‑ordinating and organising better blues sessions and personal development initiatives for players. We’re excited to begin work on an Academy Alumni project, which this role will also become central too.

Key Responsibilities


Host Families

* Manage the end‑to‑end Host Family programme, ensuring all documentation, agreements, DBS checks and records are accurate, compliant and up to date.
* Act as the main point of contact for Host Families, maintaining regular communication, scheduling formal house visits, and sharing information in a timely way.
* Create and oversee player placement plans, including managing holiday cover and alternative accommodation when required.
* Lead the recruitment, onboarding and ongoing support of Host Families, including inductions and relevant CPD.
* Coordinate mid‑season Host Family reviews with external safeguarding professionals.
* Manage monthly Host Family payments, ensuring accurate tracking of player movement, retainers, notice periods and deductions.


Personal Development

* Support the development and delivery of the Better Blues curriculum across Academy age groups.
* Coordinate and deliver U12–U16 workshops, ensuring alignment with football training schedules.
* Liaise with internal staff and external providers to arrange workshops and manage payments.
* Build and maintain strong relationships with personal development and education partners.


Alumni

* Support the development of an Academy Alumni programme.
* Maintain accurate alumni records, tracking player pathways, contact details and current playing status.
* Support alumni communications and events, acting as a central point of contact for former players.


Safeguarding & Welfare

* Work closely with internal and external safeguarding professionals to ensure best practice across the Host Family programme.
* Maintain a player‑centred approach, using visits and check‑ins to identify welfare needs and concerns.
* Ensure safeguarding procedures are followed at all times, recording, reporting and escalating concerns appropriately, including mental health concerns.


What You’ll Bring


Essential

* Strong experience in coordination/administration within a welfare, education, youth, sport or people‑support environment.
* Excellent attention to detail and confidence managing sensitive documentation and compliance processes.
* Proven ability to build trust and maintain effective relationships with a wide range of stakeholders (families, young people, colleagues, external professionals).
* Confident communicator—able to explain complex or sensitive information clearly, calmly and in an accessible way.
* Highly organised with the ability to manage competing priorities, respond quickly to issues, and keep accurate logs/records.
* A player‑first mindset with a strong understanding of safeguarding and welfare responsibilities (and commitment to working safely around young people).


Desirable

* Experience supporting Host Family arrangements, accommodation placements, or pastoral/welfare programmes.
* Experience coordinating workshops, curriculum activity, or learning programmes for young people.
* Experience maintaining databases/trackers and producing accurate reporting/payment information.
* Understanding of best practice safeguarding frameworks within sport / youth settings.
