Due to business growth, we are seeking a Business Support Officer who will play a pivotal role in assisting the Managing Director with administration, project coordination and data collation and analysis. In this fast paced role you will need strong communication skills, ability to work on multiple projects and activities and work with a high level of confidentiality.
Coordination and action administrative support to project activities
* Organise and attend meetings, preparing agendas, minutes and PowerPoint presentations
* Monitor and follow up on actions to support timely project delivery
* Maintain up to date systems and documents such as trackers and logs
* Track progress against project timelines and escalate issues when necessary
Compile, analyse and present data
* Collate performance and operational data from multiple sources
* Analyse trends and issues to produce summary reports and dashboards
* Review documents, spreadsheets or reports for inconsistencies or anomalies
* Follow up with colleagues to clarify missing data or explain variances
* Present data, documentation and PowerPoints for Board level meetings
Communicate with stakeholders to support service delivery
* Act as a liaison point for internal departments and external contacts
* Ensure communications and updates are shared promptly and accurately
* Build effective working relationships across teams to support collaboration
* Support stakeholder engagement activities including briefings and updates
Provide diary and administrative support to the Managing Director
* Manage and prioritise the Managing Directors diary to ensure efficient use of time
* Coordinate internal and external meetings, prepare agendas and supporting documents
* Assist with inbox management
* Anticipate scheduling needs and provide briefings in advance
* Arrange travel as required
Support continuous service improvement and business planning
* Suggest and implement improvements to business processes and reporting methods
* Support the Managing Director and Leadership team with adhoc tasks
Skills/Qualifications
* Excellent organisational and time management skills
* Strong verbal and written communication
* High attention to detail and accuracy
* Ability to handle sensitive or confidential information
* Proficient in MS package
* Proactive in approach
* Experience working in an executive assistant role preferred
