Referral and Correspondent Administrator

Job overview
As the first point of contact for all clinical referrals & follow-ups, your responsibilities include managing referrals via telephone, e-mail, letter, or other electronic systems. This involves entering and checking clinical records, details, and demographics, amending and updating them when required, and referring all referrals to the appropriate member of the pharmacy team. You must be competent in using computer-based patient record clinical systems where patient details are recorded.
Additionally, you will take good quality minutes at relevant pharmacy meetings and provide timely drafts and redrafts of minutes to meeting chair(s) prior to approval and group dissemination. You will also disseminate relevant pharmacy circulars and memos as instructed & check the pharmacy inbox at least daily, forwarding queries or questions outside of your own parameters to the most relevant pharmacy staff member.
You will work collaboratively as part of the pharmacy team, including passing calls to senior team members, advising the caller of the possible delay. You will also extract sufficient information to pass to the senior pharmacist to ensure that the appropriate service is accessed, following local SOPS. You will work closely with, support and provide information regarding contact details & policy documents to healthcare professionals.
Finally, you will contribute positively to the achievement of service targets & outcomes and ensure compliance with appropriate legislation.
Main duties of the job
The main responsibilities of this position include:

* Refer all referrals to the right appropriate member of the pharmacy team.
* To take good quality minutes at relevant pharmacy meetings. To provide timely draft and re‑drafts of minutes to meeting Chair(s) prior to approval and Group dissemination.
* Disseminate relevant pharmacy circulars and memos on instruction.
* Check the Pharmacy Inbox at least daily and forward queries or questions outside of own parameters to the most relevant pharmacy staff member.
* Accurate and appropriate information is recorded within the service user’s clinical notes and/or using the Trust’s clinical information systems.
* To contribute to audits concerned with medicines management and pharmacy, this will include collecting and modifying data and carrying out questionnaires / surveys where necessary and interrogating and analysing results for reporting purposes.

Person specification
Qualifications
* NVQ level 3 qualification or equivalent in a health/social care/ admin related subject
* GCSE in English, grades A-C or level 2 Literacy or equivalent
* ECDL or equivalent including basic knowledge of all MS Office packages
Experience
* Relevant experience working in administrative background
* Experience of working in a health care setting
* Relevant experience of working in a general administrative background, preferably within an NHS setting
