The role
We are a UK-based physiotherapy, osteopathy and chiropractic clinic looking for a warm, professional and reliable person to help us with patient recall and reactivation calls. In the first instance, we would like the person to contact patients who have not attended the practice for approximately 3–6 months. If this initial reactivation work goes well, the role will then continue on a weekly basis, contacting patients who become due for follow-up, recall or reactivation in future. The aim is to create a consistent weekly patient recall process, rather than a one-off calling campaign. This is not cold calling. These are existing or previous patients of the clinic. The role requires a calm, friendly and confident phone manner, with the ability to gently encourage appropriate patients to book a review or follow-up appointment. The right person will ideally have experience in one or more of the following: Clinic reception Dental reception or dental recall Private healthcare administration Physiotherapy, osteopathy, chiropractic, aesthetics or wellness clinic admin Patient/customer follow-up calls Appointment booking Warm calling or soft sales Medical secretary or virtual receptionist work The role will involve: Calling previous patients by accessing our clinical booking system Checking how they are getting on Using a short recall prompt to tailor the conversation Encouraging appropriate patients to book a follow-up or review appointment Logging call outcomes clearly Flagging any clinical queries back to the clinic team Handling patients sensitively and professionally Maintaining strict confidentiality at all times This is a soft sales / patient retention role, but it must be done in a caring and ethical way. We do not want a pushy sales approach. We are looking for someone who can build rapport, listen well, and represent the clinic professionally. Experience with Cliniko or another practice management software system would be helpful, but is not essential. Due to the nature of patient information, you must be comfortable following confidentiality and data protection procedures. UK-based applicants are preferred.
