Weare seeking a well-organised, enthusiastic, and positive individual to jointhe Ophthalmology Outpatient Department as a Clerical Officer. The postholder will provide comprehensive clerical and administrative support to thenursing, medical, and wider multidisciplinary teams, contributing to the safeand efficient running of a busy outpatient service.

TheOphthalmology Outpatient Department is the busiest outpatient departmentwithin the Trust, seeing on average over 300 patients per day over 2 hospitalsites (sT James Hospital and Seacroft Hospital). This is a part-time positionof 21.5 hours per week, requiring flexibility and the ability to workeffectively within a fast-paced clinical environment.


Main duties of the job

TheClerical Officer will act as a key point of contact for Eye Casualty andoutpatient clinics, answering the dedicated Eye Casualty extension, managingpatient enquiries, and appropriately relaying urgent messages to the nursingand medical teams. The role includes organising, booking, and amendingpatient appointments using PAS, ensuring clear communication with patientsand clinical staff.

Inaddition, the post holder will undertake a range of administrative duties,including organising patient transport for patients attending Eye Casualtyvia one-way transport and actively following these up to ensure patients arecollected in a timely manner. The role requires maintaining an overview ofthe clinic environment, including ensuring adequate levels of stationery andclinical paperwork across all rooms, organising the clinic store room, andordering supplies when required. This will be undertaken in closecollaboration with the Charge Nurse to ensure appropriate stock levels aremaintained.

It is the largest provider of specialistOphthalmology services in the Yorkshire region and provides a specialistophthalmology service for patients in Leeds, Yorkshire and from across thenorth of England. Job responsibilities

TheClerical Officer provides comprehensive administrative and clerical supportto the Ophthalmology Outpatient Department, ensuring the smooth and efficientrunning of clinics across both St Jamess Hospital and Seacroft Hospital. Thepost holder plays a key role in supporting patient pathways, clinic flow, andcommunication between patients, clinical staff, and multidisciplinary teams.

KeyResponsibilities

Manage patient appointment booking,rescheduling, and cancellations using the Trusts electronic patient recordand appointment systems.

Register patients accurately, updatedemographics, and ensure patient records are complete and up to date.

Answer telephone enquiries frompatients, relatives, GPs, and other healthcare professionals, dealing withqueries appropriately and escalating where necessary.

Support clinic preparation by printingclinic lists, preparing notes, and ensuring clinics are appropriately set up.

Liaise closely with nursing staff,clinicians, and management to ensure effective clinic flow and minimisedelays.

Maintain confidentiality and dataprotection standards at all times in line with Trust policies.

Undertake general administrativeduties such as filing, scanning, data entry, and correspondence.

Work flexibly across sites as requiredto meet service needs.

Skillsand Attributes

Excellent communication andinterpersonal skills with a patient-centred approach.

Strong organisational skills and theability to prioritise workload in a busy clinical environment.

Good IT skills, including experienceof electronic patient record systems.

Ability to work effectively bothindependently and as part of a multidisciplinary team.

Calm, professional manner when dealingwith distressed or anxious patients,within Eye Clinic.
