IFA Administrator

Location: Alton

Contract Type: Full-time

Are you an organised, detail-driven professional with a passion for delivering an exceptional client experience? We’re recruiting a Client Services Administrator to join a growing financial planning business and play a key part in supporting both clients and financial planners.

About the Role

As a Client Services Administrator, you will provide efficient, end-to-end support across the client lifecycle. From onboarding and maintaining compliant records to preparing documentation and progressing new business, you’ll be a critical part of ensuring clients receive a seamless, positive experience.

Key Responsibilities

1. Onboard, update and maintain accurate, compliant client records across internal systems
2. Prepare documentation and information for client meetings
3. Monitor new and existing client transactions, ensuring timely and accurate completion
4. Process new business efficiently and effectively
5. Translate financial documentation for clients where required
6. Produce high-quality letters, emails, and financial paperwork with excellent attention to detail
7. Handle queries and calls in line with company standards, escalating where appropriate
8. Prioritise workloads to meet deadlines and agreed service levels
9. Resolve income reconciliation, finance, or tax-related queries
10. Ensure all work adheres to company policies, procedures, and compliance standards
11. Embed a client-first culture throughout every interaction

In Senior positions, responsibilities may also include:

12. Managing more complex cases and supporting the development of junior team members
13. Contributing to departmental projects and process improvements
14. Assisting the Client Services Manager in overseeing workloads and resolving procedural matters
15. Supporting with complaint identification and investigation
16. Taking responsibility for local health & safety and facilities requirements
17. Deputising for the Client Services Manager when required

18. Client Services team
19. Financial Planning team
20. Paraplanners
21. Central Services functions

Skills & Experience

Essential:

22. Strong attention to detail and high level of accuracy
23. Excellent knowledge of iO and Excel
24. Ability to work under pressure and meet deadlines
25. Confident communicator, both written and verbal
26. Strong team player

Desirable:

27. Broad knowledge of the financial services sector
28. Understanding of FCA regulations
