This exciting hands-on role will oversee the marketing for the outlined number of Client Name Shopping Centres, working on the individual marketing strategy for each centre; managing and executing the implementation of the strategy; measuring and reporting on the strategy’s effectiveness and return on investment; and managing the respective marketing budget. Reporting to: Centre Manager Primary Objective: To provide administrative support to the Management Team and assist in the provision of high-quality, cost-effective services to the tenants and their customers. Duties and Responsibilities Administration: The organisation and daily administration of the Centre Management office, to include the purchasing of stationery and office supplies and the maintenance of Centre Management files and records. · Maintain and administer Centre Management Office supplies. · Ensure all Centre files, records etc are kept in an orderly manner. · Assist Centre Management in preparation of Client or Managing Agent reports. · Answering of incoming telephone calls, transferring to appropriate personnel and taking messages. Financial Controls: · Assisting with the preparation, administration and reconciliation of service charge and other budgets required to manage, maintain and promote the Property cost effectively and efficiently, having regard to plant and other maintenance programmes and the appropriateness and adequacy of services. · Checking and coding all suppliers and contractors invoices in accordance with agreed budgets for the Centre Manager and Operations Manager to approve. · Maintaining petty cash and local banking facilities as directed. Landlord & Tenant: · Maintaining regular contact with Tenants’ Managers and representatives to ensure the proper flow of information necessary to manage and promote the Property. · Promoting a good working relationship between Centre Management and the tenants of the Property. · Assist with all aspects of tenant, client and supplier communication. Promotion and Marketing: · To assist the Centre Manager with marketing support, and to assist with in-house promotional activities in line with centre management requirements. · Maximising mall income from events and activities previously approved by the Property Manager. · Liaising with consultants, local press and others to ensure positive publicity and to provide a considered response to enquiries regarding events and activities affecting the Property. · Promoting the Property in accordance with the approved Marketing Plan and pursuing all revenue income generating opportunities. · Process all income according to agreed processes. · Assist with issuing mall income licences and ensuring all terms are complied with. · Support Centre Management team in preparation and implementation of Annual Marketing Plan including organisation of events within scheme. Generally: · Complying with the direction of the Centre Manager in dealing with general office management responsibilities, communication and reporting procedures. · Undertaking all other reasonable requests and duties necessary to ensure compliance with the Principle Objective. · To ensure all company policies are understood, communicated and adhered to as appropriate. This job description does not form part of the Contract of Employment and may be reasonably amended from time to time. Performance Measures · Relevant and new relationships grown through excellent communication skills including writing, proof reading and speaking. · Key deadlines met through using strong organisational and planning skills. · Completes tasks thoroughly with attention to detail. · Ability to accomplish projects and work autonomously. · Deliver high levels of customer service to retail tenants and customers. · Be proficient using the latest versions of Microsoft Office/Excel.
