Role Overview
As the Admin & Recruitment Officer, you will play a pivotal role in ensuring smooth administrative operations and supporting recruitment and onboarding efforts. You'll help maintain Green & Orange's high standard of learner-first service by managing office workflows and assisting in recruiting activities that align with the organization's values.
Key Responsibilities
A. Administrative Tasks
* Manage day-to-day office operations, including handling phone and email enquiries and guiding visitors.
* Maintain both physical and digital filing systems—student data, recruitment records, and general correspondence.
* Order and track office supplies to ensure efficient operations.
* Schedule client consultations, team meetings, and interview sessions.
* Assist with essential administrative tasks such as mail distribution and invoice processing.
* Provide general administrative support across departments as needed.
B. Recruitment & Onboarding
* Assist with recruitment processes: draft and post job adverts, screen applications, and schedule interviews.
* Manage candidate communications (emails, calls) to ensure professional and timely interactions.
* Support coordination of interview logistics—setting up meeting platforms, preparing candidate or staff briefings.
* Facilitate induction and onboarding—preparing welcome materials, conducting office tours, and scheduling initial training.
* Collect and maintain new staff paperwork: contracts, right-to-work documentation, and reference checks.
C. Data & Record Management
* Maintain accurate records of applicants, interviews held, and recruitment outcomes.
* Generate basic reports on recruitment activity, candidate pipelines, and onboarding status.
* Assist with updating essential internal systems (e.g., CRM or tracking tools) in line with Green & Orange's guidelines.
D. Communication & Stakeholder Support
* Serve as a responsive liaison for staff and applicants—ensuring a welcoming, organized, and professional experience.
* Provide administrative support during events, webinars, or outreach initiatives—booking venues, preparing materials, and coordinating with attendees.
Essential Skills & Qualifications
* At least 2 years of proven experience in administrative roles, ideally within the education or recruitment sector.
* Strong organisational and time-management skills, with the ability to work autonomously and collaboratively.
* Excellent verbal and written communication.
* Comfortable multitasking and remaining calm under pressure.
* Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to quickly learn organizational tools or CRMs.
* High attention to detail, discretion, and ability to handle sensitive data confidentially.
Desirable Experience
* Exposure to recruitment or HR support, including CV screening, scheduling, or onboarding.
* Familiarity with educational environments, understanding student recruitment or admissions processes.
* Experience with digital tools like applicant tracking systems, video conferencing platforms, or CRM software.
