As a Registration Officer, you will be guiding and supporting the public through some of the most meaningful moments of their lives and will be instrumental in providing essential civil registration services across South Gloucestershire. You will have the opportunity to conduct and register ceremonies at some of the most stunning venues and guide individuals through the final stages of becoming British citizens, registering of births, deaths, marriages, civil partnerships.
Acting as a Deputy to the Superintendent Registrar and County Registrar, you will play a key role in shaping and delivering an exceptional Registration Service and take the lead on a variety of rewarding responsibilities, coordinating and managing ceremony bookings, ensuring the accuracy of registrations and offering expert guidance to members of the public at life’s significant moments.
What you will be doing
* It will be your responsibility to provide both statutory and non-statutory services of all aspects of registration for births, deaths, marriages and civil partnerships using online systems RON and DRS accurately while identifying and questioning any anomalies.
* You will conduct and register marriage and civil partnership ceremonies, and training can be provided to facilitate these, if required.
* Delivering a high quality, customer-focused frontline service is key to this role, whether in person, by phone or email, and you will provide expert advice and guidance.
* Working alongside a range of stakeholders, government bodies and local authorities, you will maintain high standards of service delivery and perform a variety of administrative duties including producing historical certificates, maintaining the office diary appointment system, handling payments for statutory and non-statutory services, maintaining accurate records and daily accounts.
* A critical responsibility is to scrutinise documents, ensuring the validity of marriage and civil partnerships, and to safeguard against sham or forced marriages, linking to the relevant regulations, legislation and codes of practice.
* You will ensure that colleagues are supported, teamwork is effective and will support the Registration Service Manager Superintendent Registrar in daily operations and service innovation.
What we need from you
* It is essential that you have proven experience in a customer-facing role, ideally within a registration, legal, or public service setting where you have interpreted and followed legal guidelines and processes to ensure compliance with statutory legislation.
* Due to the nature of the role, you must have excellent communication skills, both written and verbal, and the ability to provide clear professional advice with a high degree of accuracy and attention to detail.
* You will be a team player, with strong collaborative and organisational skills.
* To be successful you must have time management and administrative skills, with the ability to prioritise and manage your workload and adhere to compliance with processes and regulations. You will also have experience of IT systems, data entry and managing records.
* If you possess the skills we are looking for but do not have registration experience, you will be fully trained and supported by our friendly and expert team.
* Ideally, you will hold an NVQ3 Business and Administration.
What you need to know
* You will be based at Kingswood Civic Centre but will also be required to work at Yate One Stop Shop, and as needed will travel throughout the authority and surrounding area to conduct registrations or ceremonies.
* There will be opportunities to work additional hours on weekends, on a rota basis, to conduct a variety of ceremonies, where additional payments will be made for these duties.
