Office Manager
Cantello Tayler Recruitment is currently recruiting for an Office Manager for our client based in Windsor.
Office based working Monday - Friday 9am-5.30pm. Parking available.
Office Manager Duties and Responsibilities
Line managing the Office Coordinator, holding regular 1-1 meetings to ensure successful management of Head Office.
Maintaining oversight of stock checks of stationery and kitchen supplies and ensuring Head Office is fully equipped.
Maintaining oversight of Office facilities, working with the Office Coordinator to manage the office cleaners and informing them of any discrepancies.
Inspecting the office, communal areas, and equipment with regular walk-arounds and ensuring any issues or faults are reported by the Office Coordinator to the maintenance contractor or managing agent.
Overseeing matters of building security, issuing office security and building keys to employees and updating records accordingly.
Working with the Office Coordinator to oversee Head Office reception, which includes but is not limited to, covering front desk as and when is required, greeting visitors, managing meeting room bookings, and answering and filtering calls.
Ensuring incoming post is received and outgoing post, including mail and parcels, is sent out in a timely manner.
Overseeing the management and maintenance of the company fleet of minibuses, ensuring that all minibus drivers are compliant with safety checks, insurance and road tax.
PA to SMT and Executive Support
Managing administrative functions including secretarial work for the Chief Executive Officer, Chief Operating Officer, Chief Financial Officer and senior management team as well as supporting Head Office staff members, where necessary.
Distributing company-wide announcements, booking conference rooms and coordinating catering for monthly meetings as well for other events throughout the year.
Assisting with team building initiatives and overall support for the maintenance of organisation culture and employee morale.
Preparing time-sensitive, high-quality documentation when requested, including printing, binding and formatting presentations.
Responsible for hotel reservations for the Executive Team, Senior Management Team and others when requested.
Responsible for safe transactions by company cards and reporting monthly on the expenditures.
Events
Overseeing the Head Office monthly events calendar and supporting the Office Coordinator in the delivery of relevant employee engagement and wellbeing schemes.
Managing internal and external company events across the group, such as Home Managers' days, awards ceremonies, gala dinners and Christmas parties.
Planning and coordinating events from conception to completion and managing complex travel and accommodation itineraries and event agendas.
Forming relationships with suppliers to negotiate the fairest rates and agreements.
Ensuring that all event details have been communicated clearly to various group members within the appropriate deadlines.
Preparing relevant printed material for events or significant meetings.
Compliance & System Management
Supporting with the company quality and compliance healthcare system.
Supporting the Compliance Manager with any compliance- or GDPR- related tasks.
Overseeing the management of staff portal, ensuring all new starters and leavers are recorded and working with the HR Administrator to ensure all staff have access. Office Manager Skills and Experience:
