Role Overview: As an HR Assistant, you will play a vital role in supporting the day-to-day operations of our HR functions. You will ensure the implementation, adherence, and maintenance of all HR policies and procedures. Additionally, you will provide assistance with general HR inquiries via email, phone, and in person. Apply today Responsibilities: Onboarding and Recruitment Support: Manage the onboarding process, including sending offer letters and contracts, and liaising with candidates and hiring managers. Handle pre-employment checks such as DBS, ID verification, BPSS checks, Right to Work, visas, and employment references. Assist with the interviewing processes, including note-taking and managing selection. Payroll and Probationary Period Management: Support payroll changes, including leavers, starters, letters of variation, and the Payroll Absence report. Provide support to line managers in managing the probationary period for new colleagues, including sending outcome letters and supporting during meetings. HR System Management and Administration: Utilize our internal HR system to ensure new starters are set up, manage colleague files, and send internal letters. Manage and maintain the HR email inbox and ensure team trackers/spreadsheets are up to date Relationship Building and Visa Processing: Build strong relationships with colleagues, managers, and heads of business. Support the HR team in processing, tracking, and managing visas. General Administration: Process and print ID access cards. Place ad hoc stationary orders and occasion flower orders. Additional Duties: Undertake other requirements as deemed appropriate for the role. Qualifications/Experience & Requirements: Previous experience in an HR assistant or administrative role is desirable. CIPD Level 3 qualified or working towards 4 GCSE/O level passes A-C or equivalent, including English and Maths. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively. Excellent communication skills, both verbal and written. Proficiency in Microsoft Office Suite and HR software/systems. Knowledge of HR policies, procedures, and employment legislation is advantageous. Skills Demonstrated proficiency in written and spoken communication, with a friendly and professional telephone manner. Strong attention to detail and the ability to record information accurately, ensuring accuracy in all tasks and documentation. Ability to prioritize tasks effectively and meet relevant deadlines in a fast-paced and demanding environment. Capacity to work independently with minimal supervision, demonstrating initiative and a methodical approach to tasks. Ability to communicate effectively with both internal and external customers, maintaining a positive and helpful attitude in all interaction.
