We’re looking for a Executive Assistant to join us in Hammersmith, London UK.
To provide consistent, high-quality support to the Commercial & Operations Senior Vice President for both day-to-day activities and long-term projects.
Tasks are performed in a highly demanding environment which requires an energetic, flexible, professional and service oriented Assistant with an eye on delivering quality with the utmost confidentiality.
The role is outward looking, liaising with the CEO’s office, a wide EA network and contributors across business areas within Liberty Global, the wider group and within ventures to facilitate alignment and engagement. It must also be a reliable point of contact within the Commercial & Operations team; ensuring the SVP’s office is as accessible as possible.
KEY ACCOUNTABILITIES
Executive Support and Representation
* Responsible for managing the SVP's diary; providing relevant meeting service (room bookings, calendar invitations, meeting details, etc.), organizing travel and expenses in line with company T&E policy, completing purchase orders and supporting the success of relevant events
* Manage the SVP’s inbox and review correspondence, including confidential and sensitive information
* Act as a bridge between the SVP’s office, internal departments and key contributors across the wider group
* Ensure regular meetings take place on key priorities and that trackers are kept on progress
* Support the preparation of decks, briefings and insights for board meetings, ELT, Commercial & Operations leadership team meetings and external SVP engagements, liaising with key stakeholders to source the required inputs and data in an accurate and timely manner
* Ensure the SVP has an "ear to the ground" by actively monitoring the external environment and drawing on internal knowledge, networks, and relationships to raise topics requiring the SVP's attention
Team coordination and management
* Maintain an overview of leadership team activities, movements, and absences
* Help build a sense of community and belonging within the team, supporting DE&I and Well Being initiatives
* Manage on-boarding for key team members and assist in the recruitment process for key roles
* Lead small-scale internal audits at the business area level when requested to do so. This involves interpreting requests such as ‘run an analysis of cost centre charges within the business area’, seeking relevant data from team leaders and constructing presentable analyses using strong data interpretation skills and comfort with software like Excel and PowerPoint
KNOWLEDGE & EXPERIENCE
PREFERRED EDUCATION/ QUALIFICATIONS:
* Degree / Equivalent
* Experience as an Executive Assistant at a fast-paced international firm would be desirable
KNOWLEDGE & EXPERIENCE:
* Building strong and trusting relationships across a broad network and at the senior level
* Forward thinking with the ability to understand and work within a complex organizational structure
* Experienced in organizing complex international travel arrangements, creating comprehensive travel itineraries and anticipating the needs of the SVP whilst travelling
* Outstanding organizational and administrative skills
* Ability to make decisions, use independent judgment, establish priorities, and work effectively on multiple initiatives
* Experience collecting data and constructing presentable data analyses
* Resilient and flexible to adapt to changing situations and circumstances
* Excellent verbal and written communication skills in English
* The ability to maintain confidentiality and discretion at all times
* High proficiency with digital tools; Outlook, Word, PowerPoint, Excel and virtual meeting systems
