The role
We are looking for a proactive and detail-oriented Business Support Executive to join our expanding team in Oxford. This full-time position is essential for streamlining administrative operations, supporting project management, and ensuring consistency in both internal systems and client-facing processes. You will play a key role in enhancing the efficiency of the entire team by collaborating closely with senior management. Your contributions will lead to:

Responsibilities
Financial Administration
* Manage accounts receivable activities including debtor follow-ups.
* Collaborate with project teams to issue timely and accurate client invoices.
Project Support
* Maintain and update project data in Monday.com and Atvero in coordination with Project Managers.
* Support timesheet compliance and ensure pipeline data accuracy with Bid and Project Managers.
* Assist in implementing and maintaining administrative best practices across projects.
* Oversee the accuracy of supplier information to ensure accuracy and compliance (eg. PI Certs, Insurance certs, contact details)
Office Management
* Coordinate general office tasks such as supplier liaison and facility management.
* Act as a single point of contact for administrative support within the Oxford office.
Documentation & Scheduling
* Organize and manage documentation, scheduling, and internal reporting requirements.
The above is not exhaustive, and the Business Support Executives are able to adapt to provide
any other administrative needs that the business has.
Essential
* Experience in administrative or operational support roles.
* Familiarity with financial processes such as invoicing and debt management.
* Excellent organizational and multitasking abilities.
* Computer literate with knowledge of Microsoft Office (e.g. word, excel etc.).
* Strong communication and interpersonal skills.
* Strong work ethic and highly motivated in a busy environment
* Positive and Proactive approach to work
Desirable but non-essential
* Experience in a professional services or technical environment.
* Previous use of document and project management systems like Atvero.
