The Digestive and Emergency Surgery Care Group has an exciting opportunity for an enthusiastic Admin Service Manager to join our team. The post holder will be responsible for managing a comprehensive administration team across the Colorectal, Upper GI, Liver, Pancreas and Emergency Surgery services, ensuring that all work is planned, organized and delivered efficiently and effectively.


Responsibilities

* Manage secretarial and administrative staff, organise workloads and performance standards across the Care Group administrative teams.
* Ensure optimum physical capacity utilisation, develop and monitor robust plans for service improvements and new practices.
* Develop, co‑ordinate and deliver high quality training to administration teams, ensuring compliance with service needs, professional standards and Data Protection Act requirements.
* Maintain close working relationships between consultants, Directorate Management Teams and patients, communicating complex and sensitive information tactfully.
* Maintain accurate, timely and legible records, oversee record‑keeping standards and compliance with clinical and non‑clinical policies.
* Lead the management of staff: conduct appraisals, implement Personal Development Plans, handle sickness absence, performance issues, annual leave, recruitment and selection in line with Trust policies.
* Participate in project management of changes that affect secretarial/administrative teams, arranging meetings, setting agendas, chairing and taking minutes.
* Authorise flexi‑time sheets, manage ordering and delivery of goods and services, and ensure effective use of financial resources.
* Research, audit and develop internal departmental quality assurance measures, ensuring workloads are disseminated according to plan.


Knowledge and Experience

* Experience of clinical administrative systems and management of staff.
* Knowledge of administrative procedures, software programmes and best practice for service efficiency.
* Strong judgement in patient enquiries, problem analysis and resolution.
* Recognise utilisation of development resources and continuous improvement opportunities.
* Experience in arranging meetings, setting agendas, chairing and minute‑taking.


Human Resources

* Day‑to‑day management of secretarial/administrative teams.
* Conduct appraisals, implement Personal Development Plans and manage performance issues.
* Handle sickness absence, annual leave and lead recruitment and selection activities.
* Implement and communicate Trust policies to staff.


Financial Resources

* Ensure effective use of financial resources while delivering services.
* Authorise flexi‑time sheets for staff.
* Manage ordering and delivery of goods and services.


Research/Audit

* Develop internal departmental quality assurance measures for transcription outputs.
* Undertake regular audits to ensure workloads are appropriately disseminated.


Training

* Manage new staff induction and ongoing professional development.
* Develop, implement and evaluate new training materials and approaches.
* Provide specialist training on procedures and software programmes.
* Plan, prepare and coordinate training facilities and materials.
* Collect and act on learner feedback, ensuring mandatory training attendance.
* Encourage use of online training facilities and support less experienced staff.
* Develop new training packages and standardise procedural documents.
* Any other duties required by line manager.
