Vacancy: Finance Offer (Payables) Closing date: Tuesday 10 March Shortlisting: Wednesday 11 March Proposed Interview date: Monday 16 Tuesday 17 March Salary: £35,671 About the vacancy: The Finance Officer (Payables) is responsible for ensuring supplier invoices and payments are processed accurately and on time. The role helps maintain strong financial controls, supports month end and year end activities, and provides excellent service to internal teams and external suppliers. Key tasks include managing weekly payment runs, reconciling supplier statements, resolving invoice queries, and keeping finance systems accurate and up to date. The postholder will also support system users, contribute to continuous improvement, and assist with audit requirements. This role suits someone who is organised, detail focused, confident working with financial systems, and experienced in processing high volumes of invoices. Strong communication skills and the ability to problem solve are essential Specifically, in the role you will: Ensure timely registration, matching, and processing of supplier invoices and credit notes, including sundry payments, within the finance system. Manage weekly supplier payment runs via BACS, CHAPS, or cheque, ensuring accuracy, compliance, and adherence to deadlines. Maintain accurate payment records and complete audit trails in line with internal financial procedures. Prepare and present aged creditor reports, highlighting outstanding invoices for the Finance Manager to review. Action and advise (where required) for accruals, prepayments, and reconciliations related to supplier costs, including support for year-end financial statements and audit requirements. Reconcile supplier statements and ensure all liabilities are accurately recorded. Liaise with suppliers and internal teams to resolve invoice discrepancies and payment queries. Review invoices (including utility and council tax) to confirm validity before payment, liaising with suppliers as needed. Conduct credit rating checks for new suppliers and procurement processes, maintaining accurate records. Provide support and training to users of the purchase-to-pay system, including onboarding, troubleshooting, and promoting wider adoption. Maintain the finance operating system, including updates for starters and leavers. Promote a culture of value and efficiency through effective purchase-to-pay processes and reporting. Support the delivery and monitoring of payment facilities and risk mitigation processes. Contribute to continuous improvement initiatives, ensuring accurate supplier records, effective controls, and streamlined workflows. Ensure compliance with financial policies, procedures, and statutory requirements across all purchase-to-pay activities Support internal and external audit processes by providing requested documentation and clear, timely explanations. Collaborate across the Finance function to deliver a cohesive and high-quality service to colleagues throughout Hedyn. Provide ad hoc support to the Head of Finance Operations and other senior finance leaders, contributing to the achievement of organisational objectives and adapting to evolving priorities. Provide cover for colleagues within the Finance Operations team and the wider Finance function during periods of absence. Support the development and delivery of the departmental plan within the directorate.
