We are looking for a dedicated individual to join the team of Medical Secretaries working in a busy GP Practice. This role is primarily based in Hull, but with an expectation that the successful candidate will sometimes be required to attend the Hornsea site.

The successful candidate will be part of a team offering secretarial and admin support for 16000 patients. The workload is demanding and the successful candidate will need to enjoy a fast‑paced environment, think on their feet and be flexible for office cover. The role requires someone with a keen eye for detail and proficient use of IT packages covering the Microsoft Office suite and clinical systems.

Eastgate Medical Group is a GP practice based in Hornsea with other sites in Aldbrough (branch site) and Hull (Hastings Medical Centre). As part of the Symphonie PCN in Hull and the Yorkshire Coast and Wolds PCN in East Yorkshire, we are a forward thinking organisation striving to provide high quality patient care.

The team is led by 9 GP‑partners, supported by Advanced Clinical Practitioners, Nurse‑Prescribers, Long‑term Conditions Nurses and Healthcare Assistants.

The clinical team is supported by well‑trained Care Navigators and Administrators. The Hornsea and Aldbrough sites have in‑house dispensaries.

Job responsibilities

Position: Medical Secretary

Hours: 24 - 37 per week

Duration: Permanent

Report to: Admin Team Leader

Job Purpose: To provide a comprehensive secretarial service to doctors, nurses, the Practice Manager and wider clinical and administrative team. To ensure that work is completed accurately and efficiently with all enquiries professionally and courteously handled whilst upholding confidentiality.

Key Areas:

* Patient services
* Secretarial Services to Clinicians and wider team

Key Points:

* Managing referrals through the e‑Referral system. Understanding referral routes and use of relevant forms and templates
* Carrying out assigned tasks from both clinical professionals and the wider team.
* Dealing with patient enquiries
* Inviting patients into the surgery to discuss the results of recent investigations
* Typing of clinical letters, patient referrals, non‑NHS letters and reports
* Arranging and assisting with meetings including minute taking as required
* At all times observe the strict rules of confidentiality
* Work within practice policies and guidelines

Person Specification


Qualifications

* Business Administration NVQ Level 3 or equivalent experience


Experience

* Experience of business administration in a high work demand environment.
* Working in a patient/customer facing role dealing with queries.
* Experience of handling difficult conversations skilfully.
* Experience of working in the wider NHS or primary care.
* Familiarity with medical terminology.


Knowledge and Personal Attributes

* Understanding of confidentiality and data protection (GDPR).
* Team player but also able to work unsupervised.
* Flexible approach to working practices.
* Commitment and enthusiasm.


Skills

* Effective written and verbal communication.
* Ability to work under pressure.
* Ability to prioritise workload and meet deadlines.
* Strong organisational skills with attention to detail and accuracy.
* Excellent IT skills, including Microsoft and email.
