The Gastro department at Poole Hospital is seeking to recruit an experienced PA.
To succeed in this role, you will need to possess good communication skills and have a passion for delivering outstanding service to our patients.
Accuracy and attention to detail are essential, along with the ability to multitask in a busy environment. Good team skills are also required.
We are looking for someone with proven computer skills, knowledge of medical terminology, and experience in a relevant field.

Main duties of the job
1. Efficiently manage the electronic appointment diary and coordinate all scheduling for consultations.
2. Provide comprehensive secretarial support, including word processing, filing, audio-typing, photocopying, and composing sensitive letters.
3. Handle complex and varied queries from patients, clinicians, and external parties, offering excellent customer service.
4. Be a key point of contact for patients, answering inquiries in person, via email, and over the phone.
5. Communicate difficult, sensitive, and confidential information with professionalism and tact, especially when speaking with anxious or distressed patients and their families.
6. Work closely with Consultants and medical staff, ensuring they have the information and responses they need for patient care and ongoing treatment.

Job description - Main responsibilities
1. Manage electronic diaries for the Consultants.
2. Manage Consultant e-mails and take appropriate actions.
3. Relieve the Consultant of administrative tasks not pertaining to clinical work wherever possible.
4. Maintain, coordinate, and organize appointments/meetings with staff, patients, their relatives, and visitors such as company representatives.
5. Deal with queries involving confidential documents regarding a wide variety of information, recognizing when issues should be referred and to whom.
6. Type clinic/additional letters to GPs, patients, and other Allied Health Professionals, using digital dictation when appropriate.
7. Look up, sort, and file patient results.
8. Use the hospital computer system to access patient details; CRT must always be used when receiving and moving notes, as mandated within the Trust.
9. Perform photocopying, faxing, scanning, and general filing.
10. Be responsible for outgoing post, meeting afternoon deadlines.
11. Scan all new Choose & Book referrals.
12. Action Choose & Book referrals once graded, send blood forms and test requests as advised by the consultant.
13. Assist staff with spreadsheets and Excel as needed.
