To provide comprehensive administrative and medical secretarial support to the Doctors and Senior Manager as required.
The post holder will be required to use the computerised patient medical record system EMISweb and E-Referral software for most secretarial work and Microsoft Word and Excel where required. Use of the digital dictation system is a key component of the secretarial role.
The post holder should have a good knowledge of medical terminology.
To assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Main Responsibilities:
To provide full secretarial support to the doctors, including typing referral letters and arranging appointments, both NHS and private, and follow up arrangements as required.
* Audiotyping
* Dealing with urgent 2ww referrals to ensure they are sent in a timely manner.
* Using the E-Referral system and the Bristol Referral Service to book and arrange patient appointments as necessary at local NHS trusts and treatment centres.
* Non E-Referrals - Typing and sending referrals as necessary directly to the local NHS trusts and treatment centres, ensuring this is coded on the patient record and on our spreadsheet.
* Private Referrals
* Letters to Patients Typing and sending various letters to patients as requested by doctors and nursing staff.
* To Whom It May Concern Letters including invoices for patients to collect.
* Tasks: Dealing with patient notes, screen messages or work-flows from GPs, nurses or colleagues as appropriate.
* Keeping up to date with all emails in your work and secretaries email accounts.
* Dealing with any incoming telephone queries from patients or outside agencies.Invoice and process all appropriate fees for medical information, reports and non-NHS services.
* Dealing with all medical insurance report requests, solicitors notes requests and patient access requests.
* Updating information on services on Intradoc.
* Typing up of significant events and keeping records

* Assist with the ordering and purchase of office supplies, groceries and other necessary items.

* To process internal and external mail on a daily basis.
* To read code all appropriate health information into Practice clinical record system.
* To assist the reception, practice nursing staff and manager with administrative tasks, as necessary.

Person Specification
Qualifications
Appropriate typing qualification.
ECDL Clinical systems used in General Practice.
Microsoft packages.
Experience
Currently working in an office/administrative environment.
Worked in General Practice or hospital.
Worked as Medical Secretary or in a Secretary/PA role.
Knowledge
Good working knowledge of Microsoft applications including Word, Excel and Outlook.
Knowledge of appropriate presentation and letter/report layout.
Medical Terminology
Working knowledge of computer hardware and software + Hospital specialties and interface between primary and secondary care.
Skills
Computer Literacy.
Communication skills.
Good telephone manner.
High standard of spelling and grammar.
