Prior Park Educational Trust is seeking to recruit an Administration Assistant to join our school in Gibraltar. This is a key role providing broad and efficient administrative support to the school office, as directed by the Head of Business Support in Gibraltar.
The post holder will contribute to the smooth running of day-to-day support administrative function across the School, while also undertaking basic local marketing tasks to support the School's profile. In addition, the role will cover some Reception duties each afternoon and provide cover at other times when required, ensuring a welcoming and professional front-of-house service.
The role will be working full time over 41 weeks per year, term time as well as six weeks during school holidays to include three weeks over the summer. We offer a competitive salary, a range of benefits including a free lunch, paying c£23-24,000 FTE.
The main areas of responsibility include:
Administrative Support
* Provide broad administrative assistance
* Support the organisation and maintenance of school administrative systems, documentation, and record keeping.
* Assist with general administrative processes to ensure smooth daily operations.
* Support the planning and organisation of school events as required.
* Support with placing and tracking orders and deliveries,
* Act as first point of contact for enquiries, visitors, staff, and students.
* Answer calls, transfer messages, and manage enquiries effectively.
* Ensure visitors are welcomed, signed in, and comply with safeguarding requirements.
* Support general Reception duties including mail distribution, deliveries, and maintaining a professional front-of-house environment.
Marketing Support
* Assist with local-level marketing activities such as promoting events, distributing materials, and supporting social media content under direction.
* Provide photographs or updates for use in School communications.
* Act as a liaison point for local marketing initiatives while ensuring consistency with the wider PPS marketing approach.
