The HR Systems Administrator sits within the dedicated HR Systems Team, created to deliver a high-quality and cost-effective people information service to the Business Units. The role will support our continued investment in technology to drive efficiencies and improved ways of working, primarily supporting the talent cycle and organisational Engagement Survey across Pilgrim’s and JBS Europe.
As an HR Systems Administrator, you will play a critical role in ensuring the effective use and optimization of our JTP system. You will work closely with the Continental Europe JBS entities, JBS USA, and Pilgrim’s Europe Culture and Engagement Team to technically support the 360 Evaluation, 9 Box, and Engagement Survey processes. This includes managing system configuration, employee data imports, setting up and releasing each process for each company in alignment with JBS Global timeframes, managing system faults and replication errors, security role permissioning, system enhancement testing, managing Qlik reporting, as well as end-user access issues and defect management.
You’ll collaborate with key stakeholders from each business to communicate process timelines and requirements, ensure accurate and updated data is collated and uploaded, and facilitate access to system training for facilitators to ensure smooth end-to-end experience across the business.
Responsibilities:
System Administration Support:
* Lead system configurations for the JTP Talent System, including employee record imports and updates, and managing each cycle of 360, 9Box, Development Plan, Engagement Survey, and other modules as required.
* Provide subject matter expertise, troubleshoot and resolve system problems, perform scheduled activities, and recommend solutions or alternative methods to meet requirements.
* Ensure data integrity, perform scheduled activities, troubleshoot issues to ensure smooth operation for all employees.
* Coordinate annual cycles within JTP with Business Leads.
* Support HR users and employees by resolving tickets within SLAs, handling queries, and ensuring a positive experience. Support primarily for the JTP System and other downstream People Systems.
* Proactively manage issues, provide feedback to senior team members and Site HR, and build system use and functionality expertise.
Data & Reporting:
* Manage mapping tables and codes for employee data within JTP.
* Schedule and generate regular reports for business leads during talent cycles.
* Create and maintain HR reports, dashboards, and analytics to provide insights into employee trends, engagement, and performance.
* Maintain data accuracy, security, and compliance with legal and regulatory standards.
* Handle global reporting needs across JTP-linked systems, building reports and dashboards for insights and compliance.
* Partner with Business Leads from Pilgrim’s Europe, JBS Europe, and JBS Global to ensure compliance with global talent processes.
* Collaborate with HR and IT teams to ensure seamless system integration and updates.
* Stay informed about JTP System updates, innovations, and best practices, sharing insights to enhance employee experience.
* Participate in ad hoc projects and tasks as needed.
* Identify, test, and implement system enhancements and additional modules.
* Gather requirements, manage testing cycles, and ensure smooth implementation of system updates.
* Coordinate testing with users, gather feedback, and ensure improvements are implemented.
* Provide technical and user support for system issues, leading testing and validation of updates before release.
* Coordinate and support planning, testing, and implementation of system tools to ensure functionality and data integrity.
* Support HR and payroll systems, including end-user support, access management, troubleshooting, and reporting.
* Plan and prioritize tasks effectively, organize work, and manage resources and demands.
* Utilize analytical and critical thinking to resolve data management issues.
* Build effective relationships with internal and external stakeholders.
* Demonstrate strong skills in data handling, reporting, and testing procedures.
* Manage system enhancements independently.
* Understand business process needs and manage stakeholder relationships.
* Possess proven system administration experience in JTP or similar HRIS systems.
* Experience in manufacturing businesses is preferred.
* Pay attention to detail, demonstrate problem-solving skills, and deliver high-quality service.
* Have strong skills in Microsoft Excel.
* Work effectively under pressure during peak periods.
* Support projects and initiatives related to employee surveys or similar data collection efforts.
* Experience managing an active ticketing system.
