Overview

Facilities Management Assistant role at Somerset Council. Based at Shape Mendip Hub, Monday to Thursday 8.30 – 5pm and Fridays 8.30 – 4.30pm. Permanent position. Salary £24,796 – £25,185 per annum.

Responsibilities

* Provide front-facing customer service (in person, by telephone or email) on behalf of the Facilities Management function. Handle staff queries at all levels, liaise with external partner organisations/tenants who co-locate in buildings, and assist the public as required.
* Process FM service requests via HALO, action and close jobs with updates to customers. Refer items outside FM scope to the Property Team by creating a new Helpdesk job on Civica or via telephone for urgent items.
* Raise Purchase Orders and GRN goods, manage delivery notes and passing invoices/credit notes for payment, ensuring correct cost codes and nominals. Raise invoices for services used.
* Handle stationery requests, DSE/homeworking requests, meeting room bookings, desk allocations, corporate refreshments, and mailroom duties as required.


Requirements / Qualifications

* Competent in the use of MS Office
* Good interpersonal skills
* Flexible and adaptable
* Commitment and enthusiasm
* Ability to work independently as well as in a team
