The Role… As the Front of House Receptionist, you will report to the Front of House Supervisor. This includes working closely with building management and office services departments and adhering to time-sensitive deadlines. The Front of House Receptionist will be responsible for delivering a 5* experience for all Hearst external clients and visitors as well as Hearst internal clients, Hearst employees. This is a part time role - 3 days per week. Main Duties… The main duties will include but are not limited to: Operating the switchboard, ensuring all telephone calls are dealt with in a friendly, professional and timely manner, redirecting calls when needed to people in the wider business. Create a welcoming environment and ensure anyone waiting in our reception area is well looked after, offering and providing refreshments and answering questions when needed. Respond promptly to the service needs of the clients, ensuring the client is kept well informed and updated in an agreed time frame. Ensure the reception desk is always clean and tidy, newspapers, food are not permitted at the reception desk Monitor the reception area ensuring a high standard of cleanliness is always maintained, magazines are visible on shelves as well as at coffee tables Ensuring all client meeting rooms are maintained in a clean and tidy order after each meeting Booking visitors and guest in using Touchpoint software Regularly check the shared reception mailbox for any in-coming messages and action promptly Authorise bookings - Accepting or Declining Meeting requests Ensuring meetings do not clash in diaries Adding set up/reset and requirements to Facilities calendar and Elogbooks Manage the Access Passes, this includes: Daily, Weekly and Permanent Passes issued to Permanent Staff, Freelancers and Contractors Updating the data base, run reports Ensure all passes are returned Issue replacement Access Passes Processing leavers Maintaining stock level of magazines, refreshments and sundries Carry out floor walks to ensure Reception area, meeting rooms and storage areas are kept clean and tidy, free of boxes or clutter, products or supplies are properly stored Manage the locker allocation system for staff, including updating the locker data bases, allocating lockers, issuing keys and arranging distribution, collecting of locker. Dealing with associated queries Have sound knowledge of all entrance and fire exit points and nearest fire extinguisher Be aware of any promotional activities taking place and who the main contact is. Any promotional goods that are given away as samples to staff in the building must not be taken without permission Work closely with the reception and facilities team to ensure the smooth running of front of house Build and manage excellent relationships with contractors, clients and employees. A “can do” approach must always be maintained Any other ad hoc requests or project work as reasonably requested. What We Are Looking For… Qualifications and Experience Proven experience of working within a customer service environment, ideally with a luxury brand or setting Any previous experience working in a front of house role would be beneficial Skills and Abilities Excellent Customer Service skills Capable of working under pressure with commitment to deliver under tight deadlines Able to manage challenging situations and adapt quickly to changing circumstances Team player, supportive of others Be proactive and engaging to ensure 5* customer service is delivered Ability to organise and prioritise workload Strong attention to detail and accuracy Excellent written and verbal communication skills Strong IT skills (proficient in Microsoft Word, Excel, PowerPoint and PDF) Benefits… (Your benefits at Hearst UK are more than just extras—they are tools to help you thrive in every part of life.
