Grade B (£25,242.00 - £26,703.00)

Permanent, Full Time, Leamington Justice Centre. Those on the redeployment register will be given prior consideration. The main purpose of the role is to provide an efficient digital case file preparation service in support of case management throughout the prosecution process with national and legislative requirements.


Main Responsibilities

* Respond to a range of requests for information received from Solicitors, Insurance companies, third party suppliers, Councils, Courts, Crown Prosecution Service and any other interested party.
* Research and collate details of court hearing outcomes in the Magistrates and Crown Courts, ensuring knowledge of sentencing guidelines and accurate updates to Warwickshire Police and national IT systems so that all offender histories are complete.
* Accurately record, file and retrieve all interview media (including vulnerable witness interviews such as child and adult sex offences) to support the prosecution case.
* Make best use of technology to support performance and interrogate Force Systems such as Police National Computer, CRIMES/GENIE, Pentip, CRASH, Athena, Vatres.
* Record all completed files on the ARMs systems ensuring MoPI compliance and alignment with the Force Retention and Management Information Policy for easy retrieval of historic papers.
* In promotion of Restorative Justice national guidance, manage all out‑of‑court disposals such as Conditional Cautions where the penalty is Victim led, drug referral/rehabilitation schemes, and education over prosecution outcomes for all ranges of offences.
* In commencement of initial court hearings, set first court dates on the Case Preparation system to interface with Courts and Crown Prosecution Service systems, ensuring all agencies are aware of the first court appearance information within national and locally agreed timescales.
* Raise a Postal Requisition, creating the relevant offence wording along with a Streamlined Digital File and allocate a court hearing date. Followed by a digital update to the courts and CPS while sending the postal requisition to the defendant.
* Supply information to Solicitors and insurance companies ensuring the correct information is obtained and supplied in the appropriate format and within required deadlines. Ensure documentation is edited and released in accordance with organisational protocols and legal requirements, maintaining security and confidentiality of data.
* Carry out quality assurance checks on ‘out‑of‑court’ disposal files and information recorded on Force systems.
* Review Crown Court lists daily to identify sentencing hearings and ensure timely receipt of the final hearing outcome and subsequent updates to local and national IT systems.
* Prepare antecedent information in line with the relevant Practice Direction.
* Prepare documentation providing departmental performance information.
* Process traffic offence reports, fixed penalty tickets, single justice procedure cases and other minor traffic offence administration.
* Provide administrative support to Warrants management.
* Undertake other duties commensurate with the nature, level of responsibility and grading of this post, as required.


Special Conditions

* Frequent physical effort required.
* Exposure to disturbing or unpleasant images or tasks.
* Working hours between 0700 and 1700hrs within the Flexi‑time scheme with a requirement to work outside of core office hours (0800‑1600) on a rota as required.


Knowledge

Educated to GCSE/Level 3 or equivalent, with an A–C grade in English and Maths.


Experience

Previous administrative experience.


Key Skills

* Excellent oral and written communication skills.
* Proven ability to work to strict deadlines whilst managing a high workload.
* Competent in the use of IT, including Microsoft packages or equivalent.
* Proven ability to file and retrieve data numerically and in alphabetical order.
