Your role at BRE
We are currently seeking a dynamic and organised individual to join our Built Environment Teamas a Deputy Operations Manager. Some of the essential duties in this role will include:
* Assisting the Operations Manager with process improvements and devising ways of better supporting the centre.
* Supporting, training and developing junior members of the team.
* Representing the Built Environment Team within other departments, and managing team functions and relationships with internal teams such as Finance, Legal, Quality and Compliance, Health & Safety, Risk and Internal audit, Estates and liaison to get any issues dealt with or assistance with any queries.
* Working with finance system and completing tasks such as opening proposals and projects, and managing the administration of projects as required.
* Managing invoicing and income for the department and claiming income; ensuring targets are met through liaison with project managers.
* Maintaining filing systems in line with organisations policies and procedures (e.g. ISO:9001), using SharePoint and following the central Group Management System documents to ensure we’re using the correct up to date documents.
* Liaising with clients regarding proposals and contracts.
* Answering/dealing with email and phone queries, passing them on to the relevant member of staff in an appropriate and timely manner.
* Booking travel and hire cars. Arranging meetings and hospitality.
* Minuting and participation in a variety of meetings, including those with multiple participants from a range of companies, internal departmental and team meetings. Creating notes for dissemination, and following up on any actions.
* Assisting with the ordering and maintenance of stock supplies.
Your profile
Some skills that will be necessary for this position include:
* Experience working in an Operations / Business Support team.
* Competent to advanced user of Microsoft Office Suite, as well as confident in being a quick learner of other in-house bespoke systems.
* Support management in the accurate production of income for the profit and loss accounts each month; full training to be received, but a good handle on numbers and finances required.
* Very organised with the ability to manage a busy workload, along with excellent interpersonal and communication skills both written and verbal.
* Good customer service focus when dealing with both internal and external parties.
Desirable:
* Reconcile accounts including receivable and payable.
* A proactive team player with the ability and initiative to work independently with little supervision.
* SharePoint Administration.
* Good interpersonal and communication skills.
* Ability to follow standard procedures and operational processes.
* Confidence in working within a fast-paced environment with good attention to detail and priority management.
* Knowledge of maintaining project and contract records.
* Knowledge of ISO:9001 an advantage
