Role: Coordinator, Ethics & Independence Standards & Policy


Role Summary


Embedded within the Risk & Compliance Central Operations team and dedicated to the Global Ethics & Independence (E&I) programme, the Coordinator supports the day-to-day operation of a global E&I management programme, with responsibility for coordinating international standards initiatives, policy and E&I Manual updates, and related governance processes.

This role plays a central coordination and control function - ensuring policy and standards projects move efficiently from drafting through committee and Board approval, implementation, and global communication. The Coordinator provides structured planning, disciplined follow‑up, high‑quality documentation, and clear reporting across multiple global stakeholders and governance bodies.



Key Responsibilities


International Standards & Policy Project Coordination

* Coordinate projects relating to new international ethics and independence standards and updates to existing standards.
* Manage projects for:
* Drafting new global E&I policies
* Updating existing policies
* Maintaining and updating the Global EI Manual
* Track standards and policy effective dates, consultation periods, transitional requirements, and implementation milestones.
* Coordinate inputs, reviews, and comments from subject matter experts, member firms, and stakeholders.
* Maintain clear project plans covering drafting, review, approvals, implementation, and communications.


Governance, Approval & Decision Tracking

* Coordinate governance processes for policy and standards-related initiatives.
* Track and manage:
* Committee review and approval cycles
* Escalation to senior governance forums
* Global Board approvals, where required
* Prepare approval packs, briefing materials, and decision logs.
* Maintain a central register of approvals, decisions, dependencies, and conditions.
* Monitor timelines and proactively follow up to ensure approvals are obtained in line with programme plans.


Committee, Working Group & Meeting Management

* Coordinate task forces, and working groups, including:
* Managing composition and membership registers
* Issuing calendar invitations and managing meeting schedules across time zones
* Support meeting preparation (agendas, pre‑reads, materials).
* Attend meetings, track attendance, capture decisions, and produce accurate, timely minutes.
* Maintain clear action logs; assign owners, track progress, and follow up on outstanding actions.


Programme Planning & Delivery Oversight

* Develop and maintain integrated timelines for international standards, policy, and EI Manual initiatives.
* Track the full lifecycle of deliverables—from drafting through review, approval, publication, and implementation.
* Monitor progress against plan and identify risks, issues, or delays.
* Provide weekly programme planning and status updates, including upcoming milestones and dependencies.
* Ensure coordination across multiple concurrent projects within the wider E&I programme.


Reporting, Documentation & Communications

* Draft programme reports, status updates, briefing papers, and summaries for E&I leadership and governance forums.
* Coordinate updates to the global intranet, ensuring that:
* Approved policies and EI Manual updates are published accurately and on time
* Superseded versions are archived appropriately
* Draft supporting communications, summaries, and guidance to support policy roll‑outs.
* Maintain structured documentation repositories, version control, and audit‑ready records.


Programme Operations & Continuous Improvement

* Support the effective day-to-day running of the global E&I programme.
* Maintain trackers, registers, and planning tools covering standards, policies, approvals, and actions.
* Ensure consistent application of programme templates and governance processes.
* Identify opportunities to streamline coordination, reduce duplication, and improve delivery efficiency.


Required Skills & Experience (7+ years)

Essential

* 7+ years’ experience in programme coordination, project coordination, PMO, or governance roles within a global or regulated environment.
* Proven experience coordinating policy drafting and updates, standards implementation, or regulatory projects.
* Strong understanding of formal approval and governance processes, including committee and Board‑level approvals.
* Demonstrated ability to manage multiple concurrent projects with complex dependencies.
* Strong meeting coordination, action tracking, and follow‑up discipline.
* Excellent written communication skills, including drafting minutes, reports, policy support materials, and briefing packs.
* High attention to detail and strong organisational skills.
* Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel, SharePoint).


Preferred

* Experience working in Ethics & Independence, Risk, Compliance, Quality, or Professional Standards functions.
* Familiarity with policy lifecycle management and global governance frameworks.
* Experience managing intranet or knowledge platforms.
* Project management certification (PRINCE2, CAPM, PMP) an advantage.
* Experience operating in professional services or complex global organisations.


Qualifications

* Bachelor’s degree (Business, Compliance, Risk, Governance, or related field) or equivalent experience.
* Project coordination/PMO certification a plus.
