Job Description
This role provides administrative support to ensure the smooth processes of utilities invoices. As a Utilities Administrator you will be the first point of contact for both internal teams and external utility providers, assisting with queries.
Responsibilities To Include
* Manage Water, Gas, and Electricity invoices
* Act as liaison with Ginger Energy (Brokers)
* Coordinate with internal teams to resolve historic and ongoing utility queries
* Support the Mobilisation team to ensure smooth onboarding of new developments' utility supplies
* Process payments to utility suppliers using Qube system
* Upload and manage EDI files within Qube
* Access and download invoices from various utility portals
* Handle scanned documents from reception related to utilities
* Post credits and refunds accurately
* Reconcile utility accounts and resolve discrepancies
* Reconcile monthly and quarterly EDI files from suppliers to ensure correct payments
* Monitor and coordinate the Utilities inbox for queries and communications
* Participate in utility recharge processes, ensuring accurate meter readings and invoicing based on actual consumption
Key Requirements
What we ask from you:
* Strong administrative and organisational skills, with the ability to manage multiple tasks efficiently.
* Excellent communication skills to liaise effectively with internal teams, suppliers, and external partners.
* Comfortable working with digital systems and learning new software quickly (experience with payment systems or data management is advantageous).
* Ability to handle queries, reconcile information, and maintain accurate records.
* Detail-oriented with good problem-solving skills.
* Proactive and able to work independently as well as part of a team.
* Willingness to learn about utility processes, industry standards, and company procedures.
* Ability to manage emails and correspondence professionally and promptly.
