Admin Support Officer - Bowel Screening

The closing date is 27 October 2025

Due to the expansion of the Bowel Cancer Screening Service and age extension we are looking to recruit an admin support officer to join the existing team at Bishop Auckland Hospital. The post holder will provide the highest standard of admin support for patients participating in the national Bowel Cancer Screening Programme. The post is varied and includes providing general admin support to the practitioners for individuals who have had a positive FIT as part of the programme, attending occasional health promotional events in the region and local GPs. Occasional reception cover also provided for ward 20.

This is an exciting opportunity to join our team of highly motivated, professional staff who take pride in providing excellent services for our patients. The team was highly praised by the Quality Assurance Regional Centre who undertook a Quality Assurance Visit in 2018. The post will be based at Bishop Auckland Hospital, but you may be expected to travel across the three main trust sites.


Main duties of the job

Ability to be flexible and organised in the workplace with a passion for delivering a quality and successful service is essential. Excellent interpersonal, written and verbal communication skills are required to maintain and develop relationships with a wide range of internal and external contacts.

You will be supported by induction training and ongoing development. You will have regular supervision, and an annual appraisal with learning opportunities.

The successful applicant will be expected to complete training in the external BCSS system - open external online portal.

DBS check will be required for the post as occasional reception cover may be required within the endoscopy unit at Bishop Auckland ward 20.

The service core hours are 8-4 however rota working is in place to ensure admin cover is provided until 5.30 with a later start of 9.30.

6 day working in place on an adhoc basis.


About us

We provide hospital services from two acute sites - Darlington Memorial Hospital and University Hospital of North Durham. We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester‑le‑Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients' homes.

Job responsibilities

MAINDUTIES & RESPONSIBILITIES

Provide an administrative service to the BCSP Management Team in order to support the effective delivery of the Programme.

Admit and discharge patients to the ward ensuring procedures are added to the patient administration system.

Assist the BCSP Co‑Ordinator/Lead Administrator to establish and develop Standard Operating Procedures for all administrative tasks in order to provide a seamless service.

Maintain regular communication with Primary Care with regard to patient activity, and ensure GP practice information is up to date.

In support of the National Programme, maintain the BCSP national database and report any anomalies to NHS Digital Helpdesk.

Participate in Trust annual essential training, Information Governance training and educational/awareness sessions as identified by the BCSP and through the Appraisal Process.

To communicate effectively with patients, providing appropriate advice regarding appointments and correspondence.

To gain a broad knowledge and understanding of the Quality Assurance Standards, National Right Results Pathways and supporting policies and publications endorsed by NHS Commissioning Boards and the Programme National Team.

To arrange patient pathways by ensuring clinic and procedure appointments are booked onto relevant systems within programme timescales.

To ensure all pathway documentation is available for clinics and procedure appointments, in agreement with department work instructions.

To carry out daily administrative tasks to ensure the smooth running of the service, this includes actions from emails and telephone calls, dispatch and receive mail, maintain availability and correct labelling of documentation for dispatch to scanning, and covering reception.

Ensure adequate supplies of stationery, consumables, Patient Information Leaflets, PPE consumables and office equipment as appropriate.

Ensure the security, maintenance and cleanliness of personal office accommodation and equipment is upheld. Adhere to COVID‑19 policies and procedures.

Support Clinical Staff on the ensuring all patient data is captured correctly in order to support the patient pathway and correct outcomes achieved.

Be prepared to support patients requiring assistance or advice by referring to the correct member of staff.


Person Specification


Experience

* Use of standard Microsoft programmes word, excel, outlook, teams.
* Relevant administrative and or clerical experience.
* Two years in NHS setting.
* Knowledge of hospital systems EPR and waiting list management.
* Experience of working in a reception area or customer facing environment.


Special Requirements

* Satisfactory DBS clearance.
* Able to comply with departmental dress code.
* Good interpersonal skills.
* Approachable and Friendly.
* Ability to travel and work across trust sites if needed.


Special Skills & Knowledge

* Excellent communication and organisational skills.
* Ability to demonstrate empathy and understanding towards service users.

Qualifications

* 5 GCSE or NVQ level 2 or equivalent experience.
* ECDL or equivalent experience.
* Evidence of IT related qualification.
* BCSP software training.
