Job Description Summary
As an Order Management Intern, you will support the sales and operations organization by managing customer orders from order booking through invoicing and delivery. This role combines order administration, customer service, and hands‑on logistics activities, including the handling and registration of demo and loan equipment onsite.
This position is a one‑year contract for maternity cover. It is full‑time, onsite Monday‑Thursday with remote work on Friday.
Key Responsibilities
* Manage customer orders end‑to‑end, ensuring accuracy and timely execution.
* Validate orders for compliance with internal policies and contract terms.
* Maintain order backlog and update milestones in internal systems.
* Monitor customer plans vs. actual performance and support improvements.
* Provide shipping and billing instructions per contract.
* Follow up on collection issues related to order fulfillment delays.
* Manage shared order inbox, responding to customer and internal stakeholder requests.
* Provide customer support for order status, pricing inquiries, stock and delivery availability.
* Receive, register, package, store, and inventory demo and loan equipment onsite.
* Perform basic equipment handling tasks, cleaning equipment when required.
* Monitor and coordinate daily logistics flows and warehouse shipments.
* Support logistics activities related to equipment relocation with approved carriers.
* Use internal systems such as Sophia, MyOrders, Oracle, and eOM.
Requirements
* College or university education preferred but not mandatory.
* Interest in order management, operations, logistics, supply chain, or customer service.
* Previous experience in a similar environment is an advantage but not required.
* Strong organizational skills and attention to detail.
* Ability to multitask and manage changing priorities.
* Proactive, flexible, and comfortable working independently.
* Service‑oriented mindset with focus on customer satisfaction.
* Comfortable working with systems and structured processes.
* Curious, open‑minded, and hands‑on.
