Overview
The Buildings and Facilities Manager will lead the strategic and day-to-day management of the entire Landmark Theatres estate across North Devon and Peterborough. While based in North Devon, the postholder will be responsible for ensuring all venues are safe, well-maintained, legally compliant, and environmentally sustainable. This includes management and oversight of all hard and soft services, statutory compliance, contractor performance, capital works, and sustainability targets across both regions. They will have overall responsibility for buildings, environmental, IT and procurement. The role requires a flexible, hands-on approach combined with strategic planning to future-proof our estate and support high-quality artistic delivery.

Key Responsibilities
Facilities & Estates Management
Oversee the day-to-day operations of Landmark Theatres' estate across North Devon and Peterborough, including planned and reactive maintenance, cleaning, utilities, security, and waste management.
Ensure all venues are fully functional, presented to a high standard, and compliant with legal and regulatory requirements.
Maintain the building fabric, M&E systems, backstage infrastructure, and public areas through structured PPM schedules and lifecycle planning.
Lead the development and maintenance of asset registers and repair/replacement schedules for all buildings and equipment.
Manage facilities-related budgets effectively, ensuring cost-efficiency and value for money across services and suppliers.
Develop and oversee in-house maintenance work (e.g. with the Technical Team), in collaboration with the Head of Production & Programme.
Liaise with landlords, local authorities, and key stakeholders on all property and compliance matters.
Plan and deliver small to mid-scale projects, such as renovations, refurbishments, and infrastructure upgrades as appropriate and as directed by the Senior Leadership team.
Health & Safety (H&S) Leadership
Act as the organisation's Health & Safety lead and Competent Person, including conducting H&S audits, Fire Risk Assessments, and overseeing statutory compliance across all sites (e.g. Fire, Gas, Water, Asbestos, LOLER).
Develop, implement, and regularly review health and safety policies, procedures, and risk assessments to ensure full legal and regulatory compliance.
Monitor and report on health and safety compliance across the estate; ensure that any issues or remedial works required are proactively addressed and resolved to maintain high standards.
Conduct internal audits, inspections, and risk assessments to proactively identify hazards and implement effective corrective actions.
Lead investigations into workplace incidents, ensuring timely reporting, root-cause analysis, and implementation of preventative measures.
Develop and deliver H&S inductions and mandatory training for all staff, in collaboration with the People & Values Manager and under the direction of the Senior Leadership Team.
Lead and embed a safety-first culture through active engagement with the Health & Safety Committee and cross-departmental collaboration.
Maintain up-to-date knowledge of UK H&S legislation and best practice, ensuring Landmark Theatres remains fully compliant and risk aware.
Sustainability & Environmental Strategy
As the organisations 'Green Champion' you will lead the development and delivery of Landmark Theatres' environmental strategy, aligned with the Theatre Green Book and supported by the Senior Leadership Team (SLT).
Set and monitor sustainability targets, including energy efficiency, waste reduction, and water conservation across all sites.
Ensure full compliance with environmental regulations and company standards, including reporting requirements such as Julie's Bicycle for Arts Council England.
Integrate environmental policies and practices into maintenance and capital projects to support long-term sustainability goals.
Promote and embed a culture of environmental responsibility across all departments through awareness campaigns, internal engagement, and collaborative initiatives.
Stay informed of relevant environmental legislation, sector guidance, and best practice, and advise colleagues accordingly to ensure the organisation remains progressive and compliant.
IT & Infrastructure Oversight
Oversee and lead the smooth operation and strategic development of IT infrastructure across all Landmark Theatres properties, including networks, servers, data systems, and smart technologies.
Manage relationships with IT suppliers and service providers for maintenance, troubleshooting, upgrades, and procurement of hardware and software.
Ensure robust cybersecurity protocols are in place and regularly monitored to protect data and maintain regulatory compliance.
Support the implementation and integration of key operational systems, including Spektrix, Artifax, Point One, and Blue Lemon, ensuring they are embedded into day-to-day operations and staff inductions.
Provide IT-related training and support to staff, promoting digital fluency and smooth uptake of systems across departments.
Develop and maintain organisation-wide IT policies and procedures, ensuring compliance and best practice across all venues.
Collaborate with senior leadership to align digital infrastructure with estate planning and lead IT-related capital projects such as system upgrades and automation initiatives.
Capital Projects & Building Improvements
Scope, plan, and deliver minor refurbishments, upgrades, and equipment installation projects.

Ensure building improvements reflect access, safety, sustainability, and user experience objectives.
Produce reports, forecasts, and board-level updates on projects and capital spend
People & Culture
Provide line management for in-house facilities staff and contractors, ensuring clear performance expectations, regular reviews, and opportunities for development.
Champion an inclusive, collaborative, and positive workplace culture across all venues, ensuring the working environment is welcoming, safe, and supportive for all staff - including casual and freelance teams.
Act as a visible, approachable leader across North Devon sites, working closely with colleagues in Production, Front of House, and Hospitality to support integrated venue operations.
Oversee key holding protocols and act as a designated keyholder; manage out-of-hours emergency call-outs, ensuring appropriate contractor response and escalation procedures are in place and followed.
Collaborate with the People & Values Manager to uphold staff wellbeing, support inclusive recruitment and induction practices, and ensure compliance with board-level responsibilities for access and inclusion.
Support the review and delivery of team training, Personal Development Plans, and the implementation of organisational policies that promote development, equity, and constructive conflict resolution

Person Specification - Buildings and Facilities Manager
Essential Experience & Knowledge
Proven experience in facilities or estates management within a multi-site, complex or public-facing environment (e.g. cultural, educational, hospitality, local authority, or NHS sectors).
Track record of leading statutory compliance, planned maintenance, and building services delivery (hard and soft FM).
Strong knowledge of UK Health & Safety legislation, including a history of risk management and audit delivery.
Experience managing contractors and service providers through SLAs and performance-based contracts.
Practical experience overseeing capital improvement works, including refurbishment and upgrade projects.
Understanding of sustainability principles and implementing environmental strategies across building operations.
Experience collaborating across departments to deliver integrated services (e.g. technical, FOH, hospitality).
Familiarity with IT and digital systems infrastructure relevant to building operations (e.g. Spektrix, BMS, Artifax).
Line management experience, including team development and performance oversight.
Qualifications & Training
A relevant formal qualification in Facilities Management, Building Services, or Health & Safety (e.g. IWFM Level 4+, HNC/HND, or equivalent).
Health & Safety qualification (NEBOSH General Certificate, or IOSH Managing Safely as a minimum).
Fire Risk Assessor training or willingness to complete recognised training.
First Aid at Work (or willingness to train).
Evidence of CPD in areas such as sustainability, procurement, or contract management is desirable.
