Job Title: Staff Coordinator

Job Purpose:
The Staff Coordinator is responsible for supporting the smooth day-to-day running of staffing operations within the care home. This includes managing staff attendance, responding to absence and sickness reports, coordinating shift cover, and acting as a key point of contact for staff-related queries. The role works closely with the Home Manager and wider management team to ensure effective staff communication, appropriate shift coverage, and compliance with employment and care standards.
Please note: Previous experience in a care setting is not required. We are primarily seeking someone with strong team leadership or coordination experience and the ability to manage staff confidently and effectively.
Key Responsibilities:
* Act as the first point of contact for staff queries relating to sickness, absence, lateness, and general staffing concerns.
* Monitor and maintain accurate absence and sickness records.
* Coordinate with management and staff to arrange shift cover for planned and unplanned absences.
* Maintain up-to-date staffing records and support the rota planning process.
* Support onboarding of new staff by ensuring all relevant information is collected and communicated to relevant departments.
* Liaise with agency staffing providers when required and ensure agency staff are appropriately logged and briefed.
* Provide regular reports to management on staffing issues such as absence trends or staffing gaps.
* Promote positive staff engagement and communication across the home.
* Support management with basic admin tasks where needed (e.g., return-to-work forms, absence notifications, etc.).
* Ensure confidentiality and compliance with GDPR and relevant employment legislation.
Person Specification:Essential:
* Previous experience in a staff-facing administrative or coordination role.
* Strong organisational and time-management skills.
* Excellent communication and interpersonal abilities.
* Able to work calmly under pressure and manage multiple priorities.
* High level of accuracy and attention to detail.
* Proficient in Microsoft Office and/or rota management systems.
Desirable:
* Experience in a care home or healthcare setting.
* Experience with staff scheduling software.
