CONTEXT / OVERALL PURPOSE OF THE JOB Realm Chiropractic is a vibrant and dedicated healthcare partner within the Cupar community. The Chiropractic Assistant plays a vital role in delivering exceptional patient care, providing comprehensive administrative support, and ensuring the smooth and efficient running of the clinic at all times. Post holder will report to: CA Team Leader / Lead Chiropractor in their absence. Key Responsibilities Deliver a warm, professional welcome to all patients and visitors. Prepare patients for appointments and ensure a seamless clinic experience. Manage appointment scheduling and maintain the clinic diary with accuracy and attention to detail. Maintain patient records responsibly, ensuring strict confidentiality, integrity, and full GDPR compliance. Support the Chiropractor in day-to-day clinical operations. Handle new patient enquiries, build rapport, and communicate the message of vitalistic health with clarity and professionalism. Open and close the clinic as a key holder and lead shifts as required. About You Personal warmth, empathy, and strong interpersonal skills are essential. You will be confident meeting new people and understand your role as an ambassador for both vitalistic health and Realm Chiropractic. Candidates with backgrounds in hospitality, customer service, or clinical environments are particularly encouraged to apply, as these settings develop the people-focused skills central to this role. The post-holder will report to the Practice Manager, or in their absence, the Chiropractor (or covering Chiropractor), and will become an integral part of our friendly and growing team. PRINCIPAL RESPONSIBILITIES / KEY AREAS OF JOB Customer Service & Patient Care Act as an ambassador for vitalistic health, chiropractic, and Realm, promoting clinic values at all times. Provide a warm, professional welcome to all patients, building rapport and trust. Handle enquiries (in person, phone, and online) with consistency, accuracy, and professionalism. Triage enquiries appropriately, ensuring timely and respectful responses. Clearly explain our services, processes, costs, and care plans to help manage patient expectations. Prepare patients for appointments as required. Demonstrate empathy and emotional awareness, supporting patients who may feel nervous or uncertain. Work collaboratively with the Practice Manager, Chiropractor, massage therapists, yoga instructors, and visiting chiropractors to ensure accurate communication and cohesive patient care. Follow clinic policies, handbook guidance, and service scripts to ensure consistency and compliance. Uphold equality, diversity, inclusion, and non-judgemental practice at all times. Engage in continuous professional development and maintain pride in your role and the profession. Administration Accurately record and maintain patient information in full compliance with GDPR and data security requirements. Manage appointment scheduling and maintain clinic and chiropractor calendars with precision. Confidently use IT systems (email, digital documents, patient management software such as Practice Hub - training will be provided for in-house software and systems). Process payments and perform cashing up duties accurately and responsibly. Manage patient consent and documentation, including scanning and secure filing. Act as a key holder, responsibly opening and closing the clinic as required. Clinic Operations & Housekeeping Maintain high standards of cleanliness and hygiene throughout the clinic. Complete daily cleaning duties and maintain cleaning logs. Assist with stock management, including clinical and cleaning supplies. Ensure compliance with Health & Safety and safeguarding requirements. Complete all required in-house and external training. The post-holder may be asked to undertake additional reasonable duties to support the smooth and effective running of the clinic. PERSON SPECIFICATION QUALIFICATIONS Essential: Demonstrable experience in customer service, retail, hospitality, administration, or previous healthcare roles / settings. A high level of literacy, numeracy and IT skills. Desirable: A qualification or certification relevant to the essential experience criteria. Qualifications or certifications in reading and writing in English, maths, biology or other sciences. KNOWLEDGE, SKILLS AND EXPERIENCE AND PERSONAL SPECIFICATION Essential: A commitment to health, both personal and for others. An interest in chiropractic care, or a willingness to learn. Strong skills and experience across customer service and/or patient care, administration and housekeeping. Excellent communication skills, written and verbal. Willing to attend training, seminars, workshops as directed or required. Customer service skills must include patience, active listening, adaptability, a positive attitude, proactivity, relationship and rapport building, empathy, resiliency, product knowledge and continuous willingness to improve and develop. Time management, organisation and personal effectiveness skills. Experience managing cash and card payments, cashing up and responsible management of end-of-day business finances. Experience working in a team and under your own initiative. Commitment to maintaining a professional workplace appearance. Ability to follow instructions. Non-judgemental. Desirable: Experience of working in a healthcare or chiropractic setting. Knowledge of vitalistic chiropractic care.
