Bid Coordinator | Collaborative Architecture Practice | London

As a Bid Coordinator, you will use InDesign to format documents, proposals, and
presentations for the consultancy's top clients. You will also be responsible for tracking
requests and maintaining all bid master files and templates, ensuring that the material
is contemporary and on-brand.
The Role
They're on the lookout for a Bid Coordinator who thrives on variety and pace. This isn't just about ticking boxes and meeting deadlines – it's about crafting compelling stories that showcase the practice's work in the best light. You'll be at the heart of the business development process, working closely with partners and the communications team to shape submissions that stand out. You'll also have opportunities to dip into wider creative projects, from awards entries to marketing campaigns and design-led comms.
Responsibilities
* Researching and editing tailored content for bids, competitions, and expressions of interest
* Reviewing bid requirements, preparing clear briefings, and mapping out what's needed
* Pulling together words and images into sharp, professional submissions that grab attention
* Coordinating with bid sponsors, consultants, and clients to keep everything on track
* Joining weekly new business meetings and updating the bid tracker
* Building and maintaining a library of bid materials (case studies, CVs, imagery, company info)
* Supporting the Communications team with marketing collateral, publicity sheets, and design projects
What the Client Would Like to See (Required)
* Top-notch written English with an eagle eye for editing and detail
* Experience working in architecture, the built environment, or professional services
* Confidence with Microsoft Office 365 and Adobe InDesign (with an eye for design and layout)
* Highly organised, able to juggle multiple deadlines without breaking a sweat
* A natural communicator who can work with senior colleagues and external partners alike
* Proactive, adaptable, and committed to producing high-quality work

* Experience with PR, marketing, or awards submissions
* An interest in design and storytelling through visuals
* Someone who loves learning and getting under the skin of projects quickly
