Description
Working alongside our Administration team and reporting daily to the Office Services Manager, you will be responsible for your own tasks while supporting our legal departments. Additionally, you will assist the main reception and front of house teams in providing a first-class customer experience when visitors arrive at our offices.
Key tasks include processing internal & external post, scanning and photocopying, file closing for fee-earning departments, main reception duties such as greeting guests, showing clients to meeting rooms, providing refreshments, and switchboard coverage as needed.
The role is full-time, based at our Derby head offices, working from 08:45 to 17:15, Monday to Friday.
Key Responsibilities
* Sorting and distributing post (Royal Mail and DX).
* Scanning and saving client documents into case management systems.
* Preparing outgoing post and operating the franking machine.
* Photocopying and scanning documents with attention to detail.
* Managing stationery and refreshment supplies.
* Receiving and distributing deliveries and outgoing courier requests.
* Supporting administrative tasks for fee-earning departments, including filing and scanning.
* Providing cover for lunch and holiday shifts at reception.
Main reception duties include (but are not limited to):
* Greeting visitors and guiding them to meeting rooms or waiting areas.
* Managing the meeting room booking system.
* Providing refreshments and ensuring meeting rooms are tidied after use.
* Logging and distributing incoming documents and hand deliveries.
* Notifying fee earners of client arrivals and document receipt.
* Copying and certifying client documents onsite.
* Providing switchboard coverage and handling overflow calls.
* Managing reception and switchboard emails and voicemails.
General duties include:
* Watering plants.
* Reporting maintenance issues.
* Supporting onsite cleaning and desk policy compliance.
* Assisting with other projects as assigned by the Office Services Manager.
