Senior Rotational Pharmacy Assistant

We are currently seeking to recruit an enthusiastic and motivated individual who will provide a professional, efficient and customer focused service whilst rotating between Dispensary, Homecare, Purchasing and Distribution at Royal Brompton Hospital. This is an excellent opportunity for someone who would like to progress within pharmacy, as this role provides a good foundation in various vital sectors within pharmacy.
The successful candidates will have good interpersonal skills, with the ability to work to a high standard within the team or on their own initiative.
Main duties of the job
* Rotate through Dispensary, Homecare, Purchasing and Distribution, providing support to Pharmacy at Royal Brompton Hospital.
* Accurately dispense prescriptions for in‑patients and outpatients.
* Interact with other staff and patients both in person and over the telephone, working quickly and accurately under pressure.
* Respond to routine telephone and face‑to‑face enquiries from patients, their representatives, members of the public, homecare providers and a wide range of staff groups, and refer queries to the relevant member of the pharmacy team when necessary.
* Participate in ward and department topping up and ensuring appropriate stock rotation.
* Process homecare invoices using the Epic homecare module.
* File and save documents to patient records.
* Collect data and produce invoices for private patient medication.
* Assist in the coordination of the day‑to‑day administration in the Pharmacy Homecare Hub and Income Team.
* Receive and check deliveries.
* Order stock from suppliers and process invoices from suppliers.

Job responsibilities

* Act as the first point of contact for users of the homecare hub, dealing with telephone calls and enquiries promptly and efficiently.
* Liaise with Pharmacy, nursing, specialist pharmacists and private patient administrators regarding patient costing, drug use and cost queries.
* Collaborate with the Finance Department on cross‑charging costs and invoicing issues.
* Maintain contact with the Trust Commissioning and Service Development Department as required.
Dispensary
* Carry out reception duties including answering the telephone and receiving prescriptions.
* Process prescriptions and accurately dispense for inpatients and outpatients in accordance with current procedures.
* Handle returned medication and participate in daily rolling stock checks.
* Manage stock rotation, restocking shelves, expiry date checks and maintain clean storage areas.
* Assist in maintaining efficient stock control with the Lead Pharmacy Technician and Chief Pharmacy Technician.
* Ensure items taken out of hours are booked appropriately in the Epic integrated system.
* Replenish and order disposables such as bottles, cartons and other dispensary items.
* Work Bank Holidays, weekends and late duty on a rotational basis.
* Process costing of external Homecare provider invoices monthly and investigate any discrepancies.
* Maintain pharmacy income spreadsheets and liaise with the Pharmacy Income, Purchasing and Distribution Operational Manager, specialist pharmacists and finance managers.
Distribution
* Assist in receiving pharmacy orders into the department and booking them in the Epic system.
* Distribute stock to wards and departments.
* Top up stock on assigned wards and ensure correct storage and rotation.
* Participate in daily stock checks and familiarize with Omnicell robot and drug cabinets.
Purchasing
* Ensure adequate supplies of medicines and pharmaceutical items are available in the Trust.
* Procure pharmaceuticals, ensuring accurate processing and adherence to contracts.
* Support the procurement of medical supplies, organising transport when required.
* Manage stock shortages, find alternative sources and liaise with clinical teams.
* Check orders for correct quantities and signatures in accordance with Trust Standing Financial Instructions.
* Process invoices and credits, ensuring prompt payment and compliance with DTI guidelines.
* Record and reclaim any price differences for stock purchased off contract.
* Maintain the filing system in the Purchasing Office and manage documentation appropriately.
* Assist senior staff with projects and follow Trust and departmental policies.
* Update Pharmacy Department standard operating procedures relating to activity data as required.
* Use initiative and refer non‑routine enquiries to a senior member when appropriate.
* Prepare private patient invoices using the Epic system.
* Ensure security of the department and pharmaceutical supplies and maintain filing systems.
* Collate charging information for each ward/clinical area/directorate.
* Investigate and rectify invoicing problems and discrepancies, including stock and pricing.
* Participate in the department's CPD programme, attend courses, training and business meetings as identified.
* Train pharmacy and hospital staff on income and homecare related systems.
* Plan daily workload and staffing with Senior & Principal Technicians when required.
* Ensure use of pharmacy computer systems (Epic Pharmacy Stock Control and Dispensing), Finance Drug Database and Microsoft Office are correct and data is archived appropriately.
* Plan workload and meet daily, weekly and monthly timetables, ensuring timely filing and record retention.
* Check and correct patient and demographic details accurately.
Research and development
* Provide administration support to the homecare team with patient and administration audits for the development of new and revised processes to improve service levels and quality.

Knowledge/ Qualifications
* NVQ Level 2 in Pharmacy Services
* GCSE Maths and English grade C or above
