Job Overview
Secretary – Dental Hospital (Band 3). Permanent, full‑time (37.5 hours per week). Salary £24,937 – £26,598 per annum. Located in the Dental Hospital, Liverpool, United Kingdom.
Responsibilities
* Type dictation from audio transcription of clinical correspondence and documentation.
* Ensure appropriate follow‑up arrangements and investigations are in place.
* Liaise with the personal medical secretaries of relevant specialties.
* Mentor, train and supervise junior staff as required.
* Answer the telephone promptly and politely, telephoning patients where appropriate, using tact, discretion and empathy.
* Accurately use patient information in the Patient Administration System (PAS), including registration screen, checking patient details, and tracking case‑notes.
* Ensure all letters and discharge summaries are copied to the appropriate professionals and to patients.
* Maintain efficient audit processes for correspondence to ensure quality levels are maintained and rectify any deficiencies.
* Take minutes of meetings and circulate them to relevant groups.
* Attend training, meetings and education sessions when required.
* Work as part of a team, promoting effective flows in the department to cover leave and ensuring the office runs smoothly.
* Perform general office duties, including incoming and outgoing mail, e‑mail and photocopying.
Qualifications and Requirements
* Educated to GCSE/O Level standard or equivalent.
* Royal Society of Arts/OCR Level II or equivalent.
* Proficiency in word processing and audio typing.
* Knowledge of medical terminology and secretarial procedures.
* Excellent IT skills, experience with all Microsoft Office packages.
* Experience working in an NHS office environment.
* Excellent communication skills and ability to use initiative.
* Self‑motivated, capable of working with limited supervision and managing a prioritised workload.
* Ability to maintain computerised and manual filing/documentation systems accurately.
* Team working skills and the ability to manage difficult or sensitive situations.
* Willingness to undertake further training as required.
* Understanding of the confidential nature of the role and awareness of the Data Protection Act.
* Current employee of a LAASP organisation (Clatterbridge Centre, Liverpool Heart and Chest Hospital, Liverpool University Hospitals, Liverpool Women’s Hospital or the Walton Centre).
* Knowledge of internal PAS system (desirable).
* Ability to supervise and motivate a team (desirable).
* Time‑management and interpersonal skills (desirable).
* Understanding of Trust internal policies and procedures (desirable).
