Overview

We are seeking an experienced professional and friendly GP Admin Assistant to join our team. The ideal candidate will have experience in scanning and read coding documents and summarising patient records. They will also provide exceptional customer service and administrative support. This role requires strong organisational skills, proficiency in office software, and a welcoming demeanour.


Job Purpose

To support the smooth running of the Practice by providing an efficient and effective administrative service to the GPs and their patients.

To facilitate effective communication between patients, members of the Practice team, community services, secondary care and other associated healthcare agencies.


Job Responsibilities

* Reception: To support the reception team by providing sickness and holiday cover for colleagues as required.
* Admin – all staff: Maintaining a courteous, efficient, and confidential service to all patients and visitors both over the telephone and in person. Dealing with all enquiries and requests, acting as appropriate.
* Ensuring appropriate handover to incoming colleagues, including any urgent or unresolved matters.
* Provision of refreshments for staff and visitors, as required. Keeping the kitchen area clean and tidy.
* Computer data entry - processing and recording information in accordance with Practice guidelines.
* Filing and retrieving paperwork, as required.
* Complete Reception tasks.
* Contribute towards the Daily Huddle.
* Complete a Handover to AM when Leaving the business each day.
* Identify and train admin cover for lead area where needed.
* Admin – individual staff: In addition to the above, individual members of the Practice administration team will take responsibility for a Lead. These may vary under the direction of the AM dependent on current and evolving Practice requirements, workload and staffing availability.
* Scanning and Summarising: Summarising the information contained in new patients’ electronic and paper records into their Practice records in line with Practice protocol; summarise vaccinations received through other channels into patient record; process GP to GP links; process scanning and coding letters into patients’ computer records in line with Practice protocols daily; return patient notes to PCSE.
* General Responsibilities:
* Confidentiality: All information related to patients, carers, colleagues, or the business must be regarded as strictly confidential and divulged only to authorised persons in accordance with Practice policies and procedures.
* Health & Safety: Promote and maintain health, safety and security as defined in the Practice Policy; identify risks; use training to update knowledge and skills; follow infection control procedures; keep work areas tidy and safe; report potential risks when identified.
* Safeguarding: Recognise signs of child and vulnerable adult abuse; understand local policies, procedures and referral points; understand roles and legal issues of other practitioners and agencies.
* Equality and Diversity: Support rights of patients, carers and colleagues; respect privacy and dignity; act in a welcoming, non-judgemental manner.
* Personal/Professional Development: Participate in annual performance appraisal; take responsibility for own development; maintain continued education; attend Practice meetings and training as appropriate, even outside normal hours.
* Quality: Strive for quality, alert teammates to issues, assess own performance, contribute to team improvements, work with other agencies to meet patient needs, manage time and resources effectively.
* Communication: Communicate effectively with team members, patients and carers; accommodate different communication needs.
* Contribution to the Implementation of Services: Apply Practice policies and guidance; discuss policy impact with the team; participate in audits and reviews where appropriate.


Requirements

Job Types: Full-time, Permanent

Pay: £12.90-£13.10 per hour

Expected hours: 25 – 37.5 per week
