Role Overview
Were looking for an experienced Import/Export Coordinator to own the end-to-end operational relationship with key international customers, from purchase order intake through export fulfilment and post-delivery follow-up .
This role sits at the heart of the supply chain and requires close coordination with customers, logistics partners, and internal teams to ensure goods ship on time and in full. Youll be managing complex export operations across Russia (raw materials) and Israel (consumer, professional / B2B product division & raw materials), with additional cover as required.
Key Responsibilities
Customer Relationship & Communication
Act as the primary operational contact for assigned customers
Manage PO amendments (quantities, SKUs, loading dates)
Communicate shipment plans, stock availability, and export details
Support trials and new product introductions
Coordinate dispute resolution and damaged goods claims
Order Processing & Validation
Receive, validate, and process customer purchase orders
Manage obsolete or substituted SKUs
Ensure Master Data extensions are completed for order creation
Confirm final PO amendments before processing
Sales Order Creation (SAP)
Create and maintain Sales Orders via SAP and OpenText
Apply pricing, batch, and Incoterm data
Process FOC orders and arrange shipments
Resolve stuck OpenText transactions
Ensure correct routing (Maersk / non-Maersk / LCL / DG)
Export & Logistics Handover
Align with Planning to confirm stock availability prior to booking
Handover completed Sales Orders to Maersk for booking
Release blocked orders and confirm stock readiness
Plan pallets, containers, and export packaging
Identify Dangerous Goods (DG) for specialist handling
Ensure documentation is archived correctly
Post-Shipment Activities
Raise and manage dispute cases (credit/debit, pricing)
Investigate damaged goods issues with customers and logistics partners
Reporting & Regular Operations
Daily SQ01, ST, DN, and holding stock reports
Maintain DN holding stock and clear DNs over 7 days
Support professional / business customers Tier 3 reporting (backup)
Weekly customer calls (Israel)
Weekly logistics calls (Maersk)
Attend project and trial meetings as required
Process Improvement & Projects
Support operational and system projects (e.g. Israel EDI)
Identify and close process gaps
Improve workflows, documentation, and SLIs
Support training, tooling, and OpenText issue resolution
Take ownership of urgent and ad-hoc export requests
Training & Cross-Team Support
Monitor HS Code mailbox and liaise with vendors
Support SAP workflow monitoring
Train internal team members and customer-side operational teams
Provide holiday and absence cover

Skills & Experience Required
Proven experience in import/export or supply chain operations
Confident owning end-to-end customer operational relationships
Strong attention to detail and documentation accuracy
Comfortable handling multiple orders and complex workflows
Clear communicator across customers, logistics partners, and internal teams
Highly organised, deadline-driven, and able to work independently
