Purpose of the Role
The Accounts Payable / Finance Assistant plays a key role in supporting the day-to-day finance function, ensuring supplier payments, expenses and financial processes run smoothly and accurately.
Supporting the accounts payable process end-to-end, from new supplier set-up through to payment and reconciliation, the role works closely with creative and production teams to keep projects financially on track.
Working as part of a supportive finance team, this role offers an opportunity to develop core finance skills within a fast-paced creative agency environment.
YOUR RESPONSIBILITIES
Accounts Payable & Financial Operations
Process supplier invoices accurately in a timely manner.
Ensure correct coding, approvals and matching to purchase orders.
Maintain and take ownership of the accounts payable ledger, ensuring it is accurate and up to date at all times.
Manage supplier onboarding and maintain up-to-date records.
Support the payment run process and ensure suppliers are paid on time.
Act as a key point of contact for supplier queries, resolving issues in a timely and professional manner.
Ensure all transactions are processed in line with internal controls and maintain a clear audit trail.
Assist with bank and credit card reconciliations.
Maintain accurate and up-to-date financial records.
Purchase Orders & Project Support
Raise and manage purchase orders within our accounting system.
Support teams with PO queries and ensure compliance with finance processes.
Assist with job reconciliations and project tracking.
Work closely with creative and production teams to support projects from a financial perspective.
Expenses & Pleo Management
Manage employee expenses via Pleo(our payment card platform), ensuring compliance with company policy.
Review and process expense submissions with accurate coding and documentation.
Support employees with expense-related queries.
Ensure expenses are processed within agreed timelines to support accurate month-end close.
Month End & Reporting Support
Support the finance team with month-end processes.
Assist with reporting and ad hoc financial analysis as required.
Systems & Process
Work across finance systems including Concept and Pleo
Support continuous improvement of finance processes and controls.
Skills, Experience Needed For This Role
Essential
Understanding of the finance process from supplier set-up through to payment.
Experience supporting core finance tasks including purchase orders, expenses, reconciliations and supplier payments.
Strong attention to detail and organisational skills.
Good general IT skills and confidence working with financial systems.
Excellent Excel skills.
Ability to work collaboratively with non-finance teams across the business.
Desirable
Experience using Concept and/or Pleo.
Experience within an agency, media or project-based business.
