Responsibilities:
1. Manage workflow of customers project orders issued from the internal tendering team
2. Processing orders in SAP (sales orders)
3. Ordering directly from suppliers for ancillary equipment as and when required for customer projects (external suppliers)
4. Raising purchase/framework orders for logistics partners
5. Raising shipping documentation (GAI, Packing list) for export shipments
6. Organising and manage the process to obtain letter of credits and certificate of origin from the Chamber of Commerce
7. Maintaining comprehensive shipping records and updating the export register (including project cost allocations
8. Organising FCA freight collections and imports to GB from suppliers/customers as and when required.
9. Obtain freight quotations for business stakeholders, from our approved logistics partners
10. Clearance instructions raised and issued directly to export customs brokers. Obtaining copies of the export declarations and checking for accuracy
11. Maintaining good communication and organisation skills (internal /external customers)
12. Produce monthly forecasting reports for the business (when the project customers payments are due)
13. Invoice customers for project associated costs
14. Familiar in using SAP, Microsoft excel and Microsoft word
15. To workindependently and in a time critical environment by being the point of contact for all project export shipments and being able to self-manage workload and priorities
16. Organise ad-hoc repair shipments, either being collected or returned to the customer
17. Being the customers single point of contact to manage and process any queries
18. Liaise with all internal teams, customs brokers and freight forwarders as necessary
Qualifications & Experience:
19. SAP
20. Good general understanding of exporting shipments
21. Understanding of GB export customs clearance formalities processes
22. Shipping incoterms
