An exciting opportunity has arisen for a professional and enthusiastic receptionist with administrator responsibilities to join our client care team. We are looking for someone with previous experience in administration and reception preferably the veterinary field although not essential. They must strive for attention to detail and fit into a friendly team of receptionists and administrators. This role will involve regular reception shifts on a rota and administrator duties
The administrator part of role will include liaising with our clinicians on client accounts and being heavily involved with the debtor management of the Practice including
· pricing client accounts,
· issuing client invoices,
· processing insurance claims,
· inputting payments,
· cashing up and banking
· Bacs payments
· liaising with the accountants, directors, and practice manager
· office duties. Such as letter writing and booster reminders
.You will need to be confident in talking to clients on the telephone about their account and discussing payment options with them in sometimes sensitive situations.
You will also be a financial point of contact for our clients both on the telephone and in person. To ensure robust and financially-sound decision-making, always striving to continually improve quality, accuracy, and efficiency.
You will have a basic knowledge on how a busy veterinary practice works including the reception area as part of the role you may be asked to help cover in reception from time to time.
Veterinary Receptionist
Duties:
* Greet clients and their pets in a friendly and professional manner
* Schedule appointments and manage the appointment calendar
* Answer phone calls and respond to inquiries from clients
* Check-in and check-out clients and their pets
* Collect payments for services rendered
* Maintain accurate records of client information and pet medical history
* Assist with filing and organizing paperwork
* Coordinate with veterinary staff to ensure smooth workflow
* Pharmacy and stock control
Working hours are Monday to Friday, no weekends or bank holidays. There maybe an option of some Saturdays to cover holidays. There will be a mixture of shifts between 8am and 7.30pm depending on your duties for that day.
You must be available for a face-to-face interview onsite we will then be able to show you around the practice and offices.
Plan to start in the role in October so a full handover can be given from our current administrator but open to starting sooner for the right candidate.
